Job Description:  Office Manager – Business Development Assistant

Summary

He/ She will coordinate various office support services, including purchasing and facilities management. The candidate will be in charge of administrative functions in order to increase efficiency and productivity of the group.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Perform General Front Office Duties
Answer multi-line phones. Direct calls as necessary. Greet and direct visitors. Organize flights and hotel bookings for visitors. Maintain staff and conference areas. Maintain corporate meetings and conference schedules. Sort and distribute in-coming mail. Post out-going mail and light shipments (Fed-Ex). Order office supplies. Maintain supply cabinets. Run general corporate errands.

• Manage Office Equipment
Assist in the maintenance of office-wide phone systems and voice mail systems. Maintain other operational equipment including, but not limited to, postage meter, binding machine(s), copy machines, etc..

• Carry Out Maintenance of Local Office Operations
Comply with company office operations policies and procedures; maintain filing systems. Assist the Human Resources in administering the local safety plan. Answer all employees needs in terms of equipment, IT issues….

• Prepare Facilities for New Arrivals
assemble furniture as required; requisitions and costs out modifications as required; facilitates the move of equipment and personnel into new space. Request form the IT department: :mail account, lap top and other IT equipment as per Pnew Form. Order: cell phone, business cards, etc.

• Assist in Maintaining Records
Assist in maintaining office records relating to base business operations (licenses, contracts, insurances, NDAs, patents, etc.), building and equipment leases, office equipment warranty manuals, equipment documentation, etc.

• Accounting Coordination
Provide book keeping support, tracking receivables and payables
Track and file company contracts
Interface with Richmond Finance.

• Provide other ad-hoc administrative assistance
to different departments as and when required.


• This role will also support our office in Belgium in all the administrative tasks.
• This role will also support our training center in Lyon, performing administrative tasks (mainly to control utilities invoices)
• Travelling to the Belgium office would be required (once per week/2 weeks)
• Administrative support between SunPower and external partners would be required.




Education and Experience

• Minimum 5 years experience in similar office administration responsibilities.

• Bachelor’s degree preferred but not required. Experience as stated in above Qualification section additionally desired.

• Service orientation. Ability to multi-task and set priorities. Ability to work well with vendors. Strong initiative. Self-starter. Strong problem solving skills. Team oriented. Ability to interact well with multiple departments. Ability to communicate well both over the phone, via e-mail and in person. Willingness to learn and continue learning. Moderate typing skills. Ability to use Microsoft Outlook, Word, Excel. Ability to use PowerPoint.
