ESSENTIAL FUNCTIONS

This position is responsible for administering and managing the day-to-day office administration services and/or program support for the Disney Wilderness Preserve (DWP) and the Lake Wales Ridge (LWR) programs.  S/he may also provide high level program support including assisting in the development of fundraising, communications and/or educational materials, conducting program data research, and/or producing narrative reports as needed. S/he may coordinate such activities as central administrative processes (facility management, telecommunications, general maintenance/repairs, central services, mailroom operations, central filing, telephone/public reception and/or printing) or maintaining office supplies, general purchasing requests, and general office duties.S/He leads/coordinates human resources, information systems, and/or financial/accounting issues/activities and provides other services in support of TNC projects/programs.  Provides guidance to subordinates in satisfying the administrative requirements on projects/programs based on extensive knowledge of TNC policies and procedures.  This position includes frequent interaction with all members within the organization as well as donors, vendors, and business relations. S/he monitors and/or oversees the preparation of budgets, schedules, purchase requests, financial forecasts and financial reports and ensures they are completed in an accurate and timely manner. 

POSITION REQUIREMENTS
  • Under the direction of the Program Director, the incumbent will oversee and coordinate all operating activities including administration, facilities, personnel and information systems for the two programs spending four days/week at DWP and one at Tiger Creek Preserve. Ensures that all operating activities are in compliance with TNC policies and procedures. 
  • Coordinate the preparation of budgets in conjunction with the Program Managers/Director, track program budgets and prepare financial reports and financial forecasts, generate invoices for accounts receivable, generate check requests and credit card invoices, process Concur transactions, oversee legal contracts and obligations, administer petty cash account, administer travel and expense reimbursements, process JERFs and AP adjustments and resolve issues with vendors.  Ensure financial items are completed in an accurate and timely manner.
  • Oversee and coordinate administrative functions including facility management, telecommunications, mailroom operations, central filing, telephone, visitor management and reception, maintaining office supplies and equipment, maintaining physical property inventory, maintaining the conference room scheduling and reservation process for DWP, maintaining and updating staff calendars, and other general office duties.
  • In coordination with FCO Staff Support Services department, act as a resource for general personnel information, benefits and policies.  Coordinate and assist staff with all human resources functions including acting as the central time and effort coordinator, providing support for employee recruiting, providing guidance to staff to ensure compliance with HR policies and procedures, providing orientation and training to new employees. Exercises discretion and maintains a high level of confidentiality.
  • Provide the program managers/directors with administrative, office, and personnel support, and serves as a liaison between preserve staff, Florida Operating Unit staff, partners and program leadership. 
  • Manage computer networks for the programs, including upgrades and purchases of hardware and software, troubleshooting, inventories, server back-up, purchasing and removal of computer equipment and technical assistance needs.  Serve as the Network Administrator which includes coordinating with division, chapter and Worldwide office information services.  Assist program staff with computer use and act as the Computer Support Key User.
  • Provide administrative support to program managers/directors on departmental initiatives.  Manages and updates program work plans and task lists.  Where requested, may oversee or assist with the production of major reports and documents.
  • Oversee the management of the facilities use, including scheduling, user fees, equipment inventory and function of the conference center, offices, dormitories and cabins.  May manage a small team of staff, interns and/or volunteers in the cleaning and maintenance, cleaning and set-up for events and activities.
  • Other duties as assigned by supervisor.

PREFERRED QUALIFICATIONS
  • Bachelor’s degree and 2-3 years related experience, Associate’s degree and 4 to 5 years related experience or equivalent combination.
  • Excellent verbal and written skills in English and other language(s) which may be relevant in the department/region. 
  • May require supervisory experience, including ability to set objectives and manage performance.
  • Experience in MS Office, Word and Excel, and Power Point.  May require database management skills.  Ability to use advanced computer functions including navigating the Internet. Ability to manipulate, analyze and interpret data.
  • Service oriented.  Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
  • Strong organizational skills and attention to detail.
  • Ability to organize time and manage diverse activities.  Meet deadlines.
  • Demonstrated flexibility to changing situations and priorities.
  • May require fluency in foreign language(s) to support global operations. Specific language(s) may be preferred depending on operating unit.

BASIC QUALIFICATIONS
  • Bachelor’s degree and 2 years related experience, Associate’s degree and 4 years related experience, or equivalent combination. 
  • Experience coordinating multiple central administrative processes, such as facility management, telecommunications, general maintenance/repairs, central services, mailroom operations, central filing, telephone/public reception, printing, maintaining office supplies, and/or general purchasing requests, or equivalent.
  • Experience in customer service and/or written/verbal communication with a wide range of people including employees, the public, vendors, or others.
  • Supervisory experience (if required).
  •  Experience using MS office, Word, and Excel. Experience using advanced computer functions including navigating the Internet.  Experience manipulating, analyzing and/or interpreting data.

  • Work performed in a general office setting.
  • Ability to work in a fast-paced, stressful environment and manage deadlines. 
  • Work requires only minor physical exertion and/or strain.  Work environment involves only infrequent exposure to disagreeable elements.
  • May require willingness to travel and work flexible hours.
