Minimum Requirements:

College graduate degree in business or accounting related field OR demonstrated equivalent experience and abilities.
Experience: Minimum of 2 years of relevant experience.

• Experience in budget tracking, understanding of contract terms, accounting principles, typical contract standards and billing procedures.
• Must be well organized, have the ability to multi-task and have a good understanding of financial principles.

Job Description:

This position provides project management support for the projects assigned, ensuring that projects are aligned with the project management goals and objectives that directly influence our performance as a company.

The successful candidate will report directly to Engineering & Architecture Services Division Manager and work closely with the Division’s Project Managers. He/she will perform specialized accounting or planning activities following general or project departmental guidelines, procedures and precedents in support of various financial functions.

The successful candidate may handle confidential assignments that require tact and diplomacy. The candidate sets up, develops and manipulates spreadsheets and assists Project Managers with budget tracking.

Other responsibilities include:

• Provide financial status information to the Project and Team Leaders.
• Run financial reports, analyze data to ensure that costs are assigned to the appropriate account.
• Initiate & complete project initiation documents -- electronic Management Approval Requests (eMAR).
• Set up projects for new contracts and modifications within URS financial system.
• Assists in set up of subcontracts; reviews and tracks subcontract invoices.
• Prepare and review invoices for completeness, accuracy, and consistency with contract requirements & rates.
• Work with Accounting (procurement, accounts payable and invoicing personnel) to assist in project maintenance keeping the projects in good financial health.
• Follow up on AR and unbilled issues as assigned.
• Track actual cost relative to budgets as the project develops.
• Track & maintain current costs, commitments and completion forecasts.
• Maintain project accounting files.
• Evaluate, select and apply standard management/administrative techniques, procedures and criteria to assist Project Managers.
• Enforce policies and programs consistent with company philosophy and objectives.
• Facilitate final closeout of projects.
• Assist Project Managers in tracking project budgets and other aspects of financial management for projects.
• Assist Project Managers in preparation and submittal of Estimated at Completion (EAC) and Revenue Exceeding Contract (REC) forms.
• Prepare Go/No-Go forms and assist with preparation of proposals.
• Evaluating, selecting and applying standard management/administrative techniques, procedures and criteria to assist Project Managers.
• Interacting directly with Project Managers and as needed with subcontractors and clients to develop and process Work Orders and other required documents.
• Providing Certifications of Insurance when required for projects.
• Assist other Project Admin/Project Controls staff.
• This position may also include other administrative duties as needed to assist Project Managers and the other administrative staff in the Honolulu office including telephone reception, and report preparation and production.
