Job Description: 
I. Job Summary

Coordinates administrative and operational and sales support for project management, manages data for reporting and ensures timely and cost effective completion of administrative details.


II. Essential Duties and Responsibilities include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.

a. Assist with development of educational or informational documents, business strategy and sustainability plans for internal and external customers.

b. Develops informational and training documentation for internal and external customers.

c. Schedules and coordinates meetings. Prepares detailed presentations for design review. Prepares reports and schedules to communicate project status and data reports for internal and external customers.

d. Performs work of a confidential nature and coordinates project support such as typing, proofing, assembling reports, and attending meetings. Travels off-site to attend customer meetings to provide support to sales in order to best represent WMNJ.

e. Coordinates and orders marketing materials, composes letters, reports and other materials based on an understanding of the requirements. Ensures grammar, punctuation and spelling standards are maintained.

f. Coordination and support of community-based events. Attendance at special events to represent WM on an as-needed basis.

g. Coordinates project administration and makes decisions effecting project timelines and layout. Maintains confidential files as necessary.

h. Respond to customer requests for information and reporting of recycling activities. Maintenance and analysis of data and preparation of reports as needed.

i. Assists in the coordination of projects involving WMRA, Operations, Sales, Pricing, Compliance and Government Affairs Departments and may be assigned duties that require access to confidential information. Maintains and verifies records such as disposal and rebate data, recycling volume reports, value of revenue stream, service and pricing matrices. Prepares special and recurring reports of a highly confidential nature according to general directions. Assigns and coordinates the work of other office administrative and clerical staff. Ensures staff members are adequately trained.

j. Manages orders and maintains inventory of specialized project items, including but not limited to presentation, promotional and marketing materials, containers and container accessories.

k. Serves as liaison between project line managers and administrative departments, as well as focus customers and municipal, county and state agencies.

l. Provides support during development phase of focus customer strategy through implementation and maintenance of services.

m. Analysis of operational and financial impact of recycling strategy to include revenue, efficiency, asset utilization, labor, ops cost, disposal and rebate value.

n. Support Sales' Construction Services Team with special projects including expansion of LEED services and MRF strategy.

o. Assist Transfer group with NJDEP required Waste Control, Inspection and Recyclables Plan.

p. Assist Pricing Director and Municipal Marketing Manager with single-stream research and education, and promotion to municipal entities.

q. Implement and manage recycling programs at WMNJ facilities (single-stream recycling, BatteryTracker, LampTracker, etc).

  • Required to use motor coordination with finger dexterity (such as keyboarding, machine operation, etc) most of the work day;

  • Required to exert physical effort in handling objects less than 30 pounds rarely;

  • Required to be exposed to physical environment which involves dirt, odors, noise, weather extremes or similar elements rarely;

  • Normal setting for this job is: office setting.

IV. Qualifications

The requirements listed below are representative of the qualifications necessary to perform the job.


a. Education and Experience

Required: Associate's Degree, or equivalent experience, in Business Administration or similar area of study, and zero to three years previous experience.



Preferred: Bachelor's Degree, or equivalent experience, with a focus on Environmental Science or Communications.



b. Certificates, Licenses, Registrations or Other Requirements


  • None currently required.

  • Must be able to attend specialized training and achieve certification as required.


c. Other Knowledge, Skills or Abilities Required



Intermediate/Advanced MS Office, specifically Excel, Power Point
