Minimum Requirements:

• High school diploma required.
• Minimum of eight years' experience at an executive level.
• Highly proficient with MS Word, Excel, PowerPoint and Outlook.
• Ability to organize multiple tasks and then execute in a timely and accurate manner.
• Ability to coordinate calendars, meetings, appointments and travel for a team of executive.
• Work with minimal supervision; must be a self-starter and have the ability to work in a team environment.
• Exhibit initiative, responsibility and flexibility.
• Experience with accounting, project management and/or marketing software.
• Candidate must have exceptional written and verbal communication skills.
• Must be able to maintain strict confidentiality regarding all employee /office matters.
• Candidate must possess professional confidence to interface with clients and executives.
• Must possess a strong work ethic, organization skills and the ability to communicate with others. Deadline and results oriented.


Job Description:

Incumbent Responsibilities:

• Performs advanced administrative duties in support of three Executive-level managers responsible for global business development Oil & Gas, Unconventional Oil & Gas and Pipelines).
• Assembles and analyzes information, prepares reports, agendas, correspondence and memoranda. Acquire data from Enterprise One Accounting System and use the data to prepare tables and reports.
• Working independently and/or with a marketing department, collects input, organizes information, and assists in preparation of collateral marketing materials, client presentations, and proposals.
• Makes information available to team members via various means including posting content on company Intranet site.
• Answers mail and e-mail and inquiries on own initiative, follows up with other departments to ensure that requests are received and executed.
• Coordinates meetings and activities across departments and offices.
• Coordinates and manages daily appointment calendars for three executives.
• Arranges and makes notifications of appointments and travel reservations.
• Prepares expense reports accurately and in a timely manner.
• Other duties as assigned.
