Increasing ability to understand and set priorities. Job Description: The successful candidate:
• Performs a variety of senior level clerical functions. • May oversee the day-to-day direction and coordination of administrative services for an office. • May assign work in order to meet deadlines. • Interprets and ensures the consistent application of company policies and procedures. • Provides reception back-up for lunch, breaks and vacations. • Orders, distributes and maintains inventory for office supplies and copy paper. • Liaises with office equipment vendors for service calls and supplies. • Sets up, moves and programs office phones. • May be responsible for cell phone management. • Processes and/or approves transactions in electronic purchasing system. • Assists staff with miscellaneous facilities needs; runs office errands. • Liaises with office maintenance staff for facility needs. • Provides back-up for electronic key card maintenance. • Moves and sets up employees' office spaces. • Maintains office equipment (lamps, furniture, fax machines, microwaves, chairs, carpet protectors, desks, etc. as well as the copiers and printers). • Posts general office information as needed. • Scans documents, prepares and burns CDs, and/or creates PDF files. • Organizes and upkeeps repro, supply, shipping and receiving areas. • Operates photocopiers, computers and scanners to print and copy documents on various paper stocks. • Operates office equipment, including facsimile machines, folders, cutters, perforators, collators, drills, staplers, padders and binding equipment. • Performs routine maintenance and troubleshooting of office equipment. • Allocates costs for billing based on equipment usage. • Coordinates and schedules printing, copying, scanning, and shipping of materials and deliverables. • Opens, sorts and distributes incoming mail; collects and stamps outgoing mail; delivers messages; collects and distributes paperwork; marks, tabulates and files articles and records. • Assists with central projects files (closed projects). • Assists with ergonomic needs of staff.
