Job Description: 

The overall purpose of the Document Control position is to coordinate the receipt and distribution of all drawings, keep specifications, other contract documents, and other logs updated with the assurance that all material information is kept current and available to those who need it.


B.    Key Areas of Responsibility

1.        Keep file of the most recent version of the stick set of contract documents.


2.        Distribute to all contractors, addendums and bulletins as they come in.


3.        Order any drawings, specifications, and other contract documents from the project’s printer as required and assure correct billing per accounts.


4.        Date stamp the received material, log the material in the pertinent log (software program, log book, etc.) so that the project will always have a record of when the material was first received and distributed to all parties.


5.        Receive, log, and distribute all contractor / vendor submittals that require approval.


6.        Maintain and manage project filing of all contract documents.


7.        Coordinate the mailing of all packages (overnight, ground, etc. via UPS, FedEx, etc.) from the project office that are not directly mailed by the printer.


C.    Knowledge, Skills, and Abilities

1.        Knowledge of Company and Department policies and procedures.


2.        Communicate effectively both in writing and verbally.


3.        Good communication skills.


4.        Plan and monitor the activities of one or more areas.


5.        Some construction related experience so as to be familiar with the basic terminology used.


6.        Good organization skills and a willingness to learn.


7.        This individual must be able to deal with in house project managers, outside subcontractors and printing and messenger firms in a clear and intelligent manner.


E.    Work Experience Requirements

2 years minimum experience in a support role in the field of construction management.

2 years experinece with Constructware.


Prior knowledge of shop drawings, architectural drawings very helpful.



F.   Education Requirements

High school diploma or equivalent required
