The challenge?
Be at the center of a global leader in full-service engineering, consulting, construction and operations. Each day, you will support a business group executive by completing a variety of administrative tasks. You should be able to think on your feet, work with minimal supervision and multitask effectively; use independent judgment and have the initiative to take on new tasks and challenges every day. You should possess at least 3 years of administrative experience and have excellent skills using Adobe; Microsoft Office tools including Word, Excel, PowerPoint, Outlook; and the internet/intranet. Work is frequently complex, proprietary, and requires strong administrative skills as well as excellent inter-personal and communication skills. You should also have a desire to grow personally as well as professionally with each administrative assistant job.

Our Construction Project Assistants:



  • Independently assist managers and professionals in preparing reports, organizational charts, presentations and correspondence and coordinate their production (may schedule graphics, editing, and reproduction).
  • Routinely solve problems and answer questions that normally arise in the course of the job.
  • Exhibit excellent interpersonal skills and have frequent interaction with senior management, staff from across the firm, and clients.
  • Track invoices and prepare purchase requests as necessary.
  • Adapt practices, procedures and techniques to accomplish duties and responsibilities of the job.
  • Work extensively to maintain up-to-date contact lists.
  • Initiate and maintain project team directory: team, client distribution and phone/email list.
  • Assist in preparation of submittals, RFIs, DCVRs (design clarification/verification request) and other similar types of documents.
  • Coordinate and assemble project deliverables; project studies, reports, review packages, construction packages, etc.
  • Manage project's public folder and associated email requirements for storage.
  • Maintain and control project files (electronic and hard copy).
  • Manage electronic specification process in order to meet project schedule.
  • Report status on key documents that have required response times; RFI, submittals, vendor data, etc
  • Local candidates are preferred and will have priority
  • No relocation assistance will be considered

Basic Qualifications



  • Minimum of 3 years experience working in an administrative role.
  • Experience supporting multiple levels of staff
  • Proficient in all Microsoft Office Suite applications
  • Excellent spelling, grammar, and writing skills (writing sample will need to be provided)
  • High School Diploma
  • Pass a background investigation in able to gain access to a United States Coast Guard Station.
  • Pass a E-Verification check.

Degree Required

High School or GED
