This position is being advertised with preference for location in Sheffield, Massachusetts (MA) or Arlington, Virginia (VA). However, location is negotiable depending on the candidate because the two teams being supported are geographically dispersed.

ESSENTIAL FUNCTIONS
The Nature Conservancy seeks a detail-oriented, highly motivated and proactive individual to provide a full range of administrative support for the North America Forest Health Protection Program and the Global Climate Adaptation Team, including but not limited to the following:
  • Manage day-to-day office operations, coordinate phone and in-person meetings, and troubleshoot equipment for a small but geographically dispersed staff with locations including Sheffield, MA, Arlington, VA, Seattle, WA, Sandy Hook CT, New York City, and Missoula, MT.
  • Prepare contracts for services in coordination with program and legal staff
  • Process invoices, online vendor bill payments, purchase orders and accounts payable in coordination with appropriate staff
  • Monitor income and expense budgets and review internal and partner financial reports
  • Compile orders and requests, and maintain detailed shipping and fulfillment records for promotional materials for public outreach campaigns (see www.dontmovefirewood.org for more information about the campaign)
  • Assist with coordination of activities between programs, colleagues, partners, and contractors
  • Assist with projects, special events, and meetings including occasional working with the public or partner organizations, note-taking, complex meeting scheduling etc.
  • Research and tasks associated with foundation and donor research and fundraising
  • Maintaining organizational awareness (being the go-to laison between North America Ops staff, Worldwide Office ops staff,and our programs)
  • Provide direct support to Program Directors for travel, expense reimbursement, meeting management, IT support, etc
  • Assist with staff’s administrative workload as needed.

BASIC QUALIFICATIONS
  • Associate’s degree, technical education or 2 years of related experience; or equivalent combination.
  • Experience working independently and as part of a team.
  • Experience with organizational and administrative responsibilities.
  • Experience with MS Office and other computer functions.

PREFERRED QUALIFICATIONS
  • Associate degree, technical education or 2-3 years of related experience; or equivalent combination.
  • Proven organizational and administrative skills, must be detail-oriented.
  • Ability to work independently or as part of a team.
  • Solid knowledge of MS Office with ability to use advanced functions.
  • Excellent oral and written communication skills and professional phone manner.
  • Ability to organize time, manage diverse activities, and meet deadlines.
  • Demonstrated flexibility to changing situations and priorities.
  • Interest in or knowledge of conservation issues.
