Job Description:  CH2M HILL Administrative Assistant Careers – Oakland, California

You should be able to think on your feet, work with minimal supervision and multitask effectively; use independent judgment and have the initiative to take on new tasks and challenges every day. You should be able to work quickly, be very responsive, and have strong interest in producing high quality products. You should possess at least 8 years of administrative experience and have excellent skills using Adobe; Microsoft Office tools including Word, Excel, PowerPoint, Outlook; and the internet/intranet. Work is frequently complex, proprietary, and requires strong administrative skills as well as excellent inter-personal and communication skills. You should also have a desire to grow personally as well as professionally with each administrative assistant job.

Our Administrative Assistants:
  • Assist with proposal preparation, including entering information into Pricer (a cost estimating tool), cost tables, and initiating contract Review and Approval processes.
  • Serve as point person on receipt and distribution of contracts; maintain contract tracking sheet from start to finish
  • Maintain an updated list of open contracts, including contract numbers, project name, project manager, not-to-exceed value, and period of performance.
  • Serve as the lead for CRM tool (business development tracking tool) – enter new opportunities into CRM, regularly gather information to keep CRM up to date, remove won/lost opportunities
  • Maintain Sharepoint sites, including calendar and information depository
  • Maintain distribution lists, contact lists, etc.
  • Schedule program/team meetings via Outlook, including coordinating with other administrative assistants
  • Enter staff bill rates, as mapped by others, into Pricer templates on a weekly basis
  • Create/maintain Pricer templates
  • Solicit/gather information to support client performance scorecards
  • Track monthly subcontractor field hours for Health and Safety reporting
  • Independently assist managers and professionals in preparing reports, organizational charts, presentations and correspondence and coordinate their production (may schedule graphics, editing, and reproduction).
  • Exhibit excellent interpersonal skills and have frequent interaction with senior management, staff from across the firm, and clients.
  • May play coordination role for other administrative staff (both on-site and remote offices).
  • Preferably have previous engineering/consulting firm experience OR have education/experience in business administration or finance

Success in performing these duties may lead to increased responsibilities in assisting with tracking of project finances. CH2M HILL will not sponsor an employment visa (e.g., H-1B visa, etc.) to fill this position. Position will provide support to senior leadership roughly 50% of the time.

Basic Qualifications

  • High School Diploma or equivalent.
  • 8 years of clerical/administrative assistant experience in a professional environment OR BS degree and 4 years of clerical/administrative assistant experience.
  • Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook; and the Internet.
