ESSENTIAL FUNCTIONS
This position provides direct administrative support to the Director of External Affairs & Policy and other support to the External Affairs team as assigned.  The Executive Assistant performs a variety of high-level administrative tasks, including scheduling, budget preparation, contract administration, meeting and travel planning, event planning, expense reporting, and reporting and tracking information for senior management.  S/he also provides support to the Director of External Affairs & Policy to manage the Board of Trustee’s Public Policy committee; preparing meeting agendas, gathering support materials, preparing meeting minutes and tracking deliverables to board members.

The Executive Assistant frequently interacts with other departments within the organization as well as external partners including government agencies, non-governmental organizations, and vendors.  Overseeing the administrative functions will require extensive knowledge of TNC policies and procedures.  S/he also monitors and/or oversees the preparation of grants out, purchase requests, and financial reports. 

The Executive Assistant also plans and schedules External Affairs team meetings as well as prepares meeting agendas, gathers support materials, prepares meeting minutes, and tracks action items.  S/he assists in writing and editing letters to government agencies and partners and a monthly newsletter to California staff.  The Executive Assistant has a critical role in ensuring that External Affairs staff satisfies the reporting and compliance requirements needed to maintain organizational integrity, particularly in the area of lobbying reporting at the state and federal level.  Responsibilities require discretion, judgment, tact and poise.  S/he has considerable latitude and flexibility in carrying out assigned tasks.

BASIC QUALIFICATIONS
  • Bachelor’s degree and 5 years related work experience or equivalent combination.
  • Experience with MS Office, Powerpoint and overall, strong research skills including fluency in use of the Internet.
  • Experience managing coordinating the schedule and contacts of a senior leader(s).
  • Experience coordinating projects, setting realistic deadlines, and managing a timeline.
  • Experience working with a wide range of people, such as board of directors, donors, volunteers, the public and/or all levels of staff.
  • Experience writing and editing promotional and informational materials.
  • Experience planning and coordinating logistics for field trips among policy makers, agency leaders and project partners that promote projects and policies.
  • Experience in administration and/or operations, including budget planning, contract administration, and promotional activities.

PREFERRED QUALIFICATIONS
  • Bachelor’s degree preferred, plus at least five years related work experience.
  • Solid knowledge of MS Office. May require database management with ability to produce reports and ability to use advanced functions, including sophisticated knowledge of the Internet.
  • Proven organizational and administrative skills and attention to detail.
  • Excellent writing and analytical skills.
  • Ability to organize time, manage diverse activities and meet critical deadlines.
  • Ability to coordinate the schedule and contacts of senior leader(s).
  • Experience researching information from divergent sources and compiling it into a cohesive report or summary.
  • Familiarity with social, economic, and political conditions and issues in California.

AUTO SAFETY POLICY

This position requires a valid driver's license and compliance with the Conservancy's Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers." Employment in this position will be contingent upon completion of a Vehicle Use Agreement, which may include a review of the prospective employee's motor vehicle record.

WORKING CONDITIONS/PHYSICAL EFFORT
  • Work requires only minor physical exertion and/or strain. Work environment involves only infrequent exposure to disagreeable elements.
  • Requires willingness to travel and occasional attendance at evening events.
  • Supervising/coordinating stakeholder visits to resource areas will require a basic comfort in working outdoors and in coordinating transportation and other logistics for individuals with differing abilities and physical needs.
