Director – Facilities & Workplace Services

 

Real Estate Services (“RES”), the internal corporate real estate department of AECOM, is responsible for the overall real estate strategy, planning, and service delivery to support the business direction of AECOM.   RES leads portfolio management and reporting, transaction management, lease administration, construction and project management, workplace and facilities management, and general real estate processes and policy for approximately 7.6M SF of mostly leased office space globally. Due to the nature of AECOM and its businesses, the portfolio is highly dynamic.

 

The Director – Facilities & Workplace Services will be responsible for the strategy, long term planning, management, budgeting, oversight and delivery of the day-to-day operations of the physical environment and workspace program in the Americas, the majority of AECOM’s real estate footprint.   The Director – Facilities & Workplace Services will be responsible for providing a safe, healthy and productive workspace that is cost competitive, flexible and responsive to AECOM’s business requirements.   The candidate will have direct oversight of regional facility managers throughout AECOM’s America’s Regions and AECOM’s headquarters.   Facility managers are located in AECOM’s key business Hubs.

 

Responsibilities:

Responsible for all aspects of facilities and workplace services in AECOM’s Americas portfolio, as well as subject matter expert for facilities and workplace services for AECOM globally

· Develop and lead Facility and Workplace policy and standards

· Define and monitor departmental Key Performance Indicators (KPIs), service standards, and service goals

Responsible for facility supplier agreements, including negotiations, implementation and approval of financial terms and payments

· Partner with Procurement on new vendor programs

Lead cost reduction programs through the development and management of sourcing/supplier programs, workplace service agreements, and streamlining of internal services provided

Develop facilities operating and capital budgets and forecasts

· Direct staff and vendors to deliver expected service levels within prescribed budgets

·   Provide periodic financial updates to Financial Planning and/or Accounting

· Develop and manage the departmental annual operating budget

Deliver cost effective facility and site services including:

· Management of site services, including landlord oversight at leased locations

·   Management of facility and engineering services for limited portfolio of NNN properties

· Direct oversight of moves, adds, and changes, as well as overall space occupancy program

· Interface with Project Managers and Occupant Leaders to successfully deliver Tenant Improvement projects, re-stacks and refurbishment projects;

· Implementation of alternative workplace strategies to increase workplace productivity and reduce occupancy costs

Develop and manage annual space management program that aligns with   the business forecast and strategic plans developed by the Strategy and Portfolio Management groups

· Develop, with Finance, the occupancy allocation model

Lead organization through change to new organizational service delivery model with centralized scope and delivery responsibility

· Formally supervise regional facility resources

· Manage the deployment of departmental and vendor resources

· Lead staff development

· Lead organizational improvement imperatives

Provide reports and / or forecasts to various Corporate, Regional   Operations, and other internal stakeholders

Other duties as assigned by AECOM real estate leadership

 

Initial programs and initiatives include:

Create a strategy and implement an action plan for the Americas facilities that improves the overall facilities cost position and service provision

Establish Service Level Agreements (SLA’s) and create facility and site services key performance indicators (KPIs); Develop a system for managing effectiveness

Develop and execute procurement and sourcing programs to support a safe, healthy and productive work environment

· Evaluate current services, contract structure and pricing

· Identify priority areas for change, expected benefits, services, ROI and day two costs

· Coordinate RFP process with Corporate Sourcing and other stakeholders; Manage negotiations

· Develop mechanism to track results and escalate risk

· Hold vendors accountable to contract requirements, cost   and service level provisions

Develop processes, policies, and controls for the facilities department

· Implement best practices, tools, and templates

· Implement operational service delivery solutions and documents, such as playbooks, account operations plans, etc.

 

Qualifications:

· Bachelor's degree and/or Technical degree from a four-year college or university is preferred

· Minimum of 8 years of related experience

· Experience managing staff and third party service providers is required

· Requires in-depth knowledge of financial and accounting terms and principles; Must be able to prepare operating, staff and capital budgets, variance explanations and forecasts

· Must demonstrate ability to:

•    comprehend, analyze, and interpret complex business documents

•    gather, synthesize and assess data; develop fact-based and compelling business cases

•    utilize common project management techniques

•    write reports, manuals, and policies

•      effectively respond to sensitive business and people issues, complex inquiries or complaints from clients, co-workers, supervisor, and/or management

•    influence and gain alignment with senior executives at multiple levels of the organization

•    lead in an environment of change

· Must have deep level skills with Microsoft Office Suite (Outlook, Word, PowerPoint), as well as a good understanding of Visio or other process-diagram tool

· Ability to travel +/- 20%

· Relocation is not offered

 

This position will be located in Los Angeles, NYC, Houston, Chicago, DC, San Francisco, Boston and Denver and report to the Corporate Director, Real Estate Services based in Los Angeles, CA. This role will have internal direct and third party indirect reports.
