ESSENTIAL FUNCTIONS
The Executive Assistant provides high level, professional administrative and logistical support to the Director and the philanthropy and government relations team in a high-energy work environment.  S/he serves as the Director’s representative in communications with managers, staff, trustees, donors and the general public as well as leaders and partners in the business, policy, and conservation community in accomplishing the chapter’s conservation goals.  This includes the preparation of letters, reports and memoranda; the screening of incoming correspondence, calls, and requests; scheduling appointments; arranging travel; maintaining all files and records for the Director; and making the first determination of priority and disposition.  This position will assist in the execution of philanthropy meetings, events and reports as directed by the philanthropy staff.  Duties are highly confidential and require broad and comprehensive knowledge of the Conservancy’s policies, operations, programs, organization and values and must be carried out with little or no supervision.  Responsibilities require discretion, judgment, tact and poise.  Incumbent may have considerable latitude and flexibility in carrying out assigned tasks. 

SPECIFIC DUTIES
  • Communicate on behalf of the Director by telephone, in person or in writing with all levels of staff, trustees, agency partners, political leaders, supporters and the general public to relay or receive information.  Receive and screen visitors and telephone calls for the Director, ascertaining the needs of the caller and determining priority and disposition.  Take and relay messages, researching and responding to inquiries on behalf of the Director.
  • Manage projects related to the Director’s conservation, government relations, and fundraising responsibilities. 
  • Arrange meetings, schedule appointments and maintain the Director’s business calendar.  Make travel arrangements, coordinating activities with partners and supporters as appropriate.  Follow-up to ensure that all details have been handled, collect receipts and process all corporate expenses.
  • Working with TNC attorneys, responsible for coordinating the processing of closing documents for legal and real estate transactions.  Includes copying, obtaining proper signatures including notary public, shipping, and tracking.
  • At the request of the Director of Philanthropy, assist writing fundraising reports and proposals, and assist with logistics for meetings and special fundraising events.
  • Maintain philanthropy/marketing materials. Order brochures, reprints, etc. from World Office, coordinate local production of materials as needed, maintain philanthropy/marketing supply closet and help staff locate materials, gather materials together for events, presentations, member requests, etc., maintain archive copies.
  • Maintain appropriate administrative files.  Maintain and update Arkansas Chapter Bylaws. 
  • Perform other duties and functions as requested by the Director or the philanthropy and government relations team.

BASIC QUALIFICATIONS
  • Bachelor’s degree and 2 years related experience, Associate’s degree and 4 years related experience, or equivalent combination.    
  • Experience with MS Office, including use of the Internet.
  • Experience coordinating projects, setting realistic deadlines, managing a timeline, or related experience.
  • Experience working with a wide range of people, such as board of directors, donors, volunteers, the public and/or all levels of staff.
  • Experience writing, editing, proofreading, and/or with oral, verbal and written communications.

PREFERRED QUALIFICATIONS
  • Bachelor’s degree and 2-3 years related experience, Associate’s degree and 4 to 5 years related experience or equivalent combination.
  • Excellent verbal and written skills in English and other language(s) which may be relevant in the department/region. 
  • May require supervisory experience, including ability to set objectives and manage performance.
  • Experience in MS Office, Word and Excel, and Power Point.  May require database management skills.  Ability to use advanced computer functions including navigating the Internet. Ability to manipulate, analyze and interpret data.
  • Service oriented.  Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
  • Strong organizational skills and attention to detail.
  • Ability to organize time and manage diverse activities.  Meet deadlines.
  • Demonstrated flexibility to changing situations and priorities.
  • May require fluency in foreign language(s) to support global operations. Specific language(s) may be preferred depending on operating unit.
