Minimum Requirements: • High school diploma or equivalent.
Experience: • Minimum 2 years of administrative / secretarial / clerical experience in engineering industry. • Working in an active multi-project environment • Monitoring & tracking project costs • Working with contracts and sub-contracts
Skills, Knowledge, and Abilities: • Working knowledge & understanding of basic accounting activities (accounts payable, accounts receivable, data entry and invoicing). • Proficient knowledge of Microsoft Office Suite, Outlook, Deltek. • Proficiency with internet search engines and electronic mail systems. • Proficiency in spreadsheet and word processing applications. • Works well in a team environment. • Detail oriented, focused, good organizational and time management skills. • Demonstrates initiative and willingness; work with little or no supervision. • Listens and communicates effectively. • Works well with other employees; flexible and adaptable. • Professional attitude, customer oriented and strong work ethic.
Responsibilities: • Provides administrative support to professional/technical staff. Performs secretarial, clerical, and administrative duties within the framework of specific job functions as set out by individual/regional offices.
• Performs administrative work by applying standard techniques utilizing established guidelines. Assignments generally require knowledge of the practices and procedures of the function, company products, policies and programs. • Perform basic accounting tasks as assigned such as tracking invoices and expense reports. • Understands and follows Company and office policies and procedures. • Performs a variety of word processing tasks in relation to technical and non-technical documentation, including the thorough check of formats, grammar, spelling and punctuation. • Assembles, reproduces prepared documents for both internal and external deliverables. • Archiving, records management, document control within a specific team and/or projects may be an expected component of the support role. • Prepares reports, manuals, agendas, correspondence and memoranda. • Utilizes office equipment to accomplish assigned tasks. • May be called upon to administer other ad-hoc administrative tasks as required. • Receives specific objectives and investigates limited variables. • May schedule conferences, appointments, meetings, and travel arrangements as needed.
Complexity & Decision Making Authority: • Performs routine assignments with limited supervision; receives guidance on new aspects of assignments. • Requires limited exercise of judgment. Job Description: • Successful candidate will support the day-to-day needs of the Pleasant Hill Survey Office as listed. In addition, back-up for front desk reception, maintain reception area, phones, mail, fax, filing & archiving, copying, binding, supply stock & inventory, and as needed to run office errands. • Good verbal and written communication skills, professional people skills, time management skills, prioritization skills, detail-oriented ability to work with others are essential requirements of this position. • Ability to advance and grow with a large scale surveying and engineering firm.
