TNC
ESSENTIAL FUNCTIONS
Provides administrative support as an assistant to the Director of Philanthropy and other philanthropy staff who are part of a complex team.  Tasks include scheduling and managing logistics of meetings; preparation of fundraising reports, correspondence, and other written materials; arranging travel; purchasing; mailings, tracking department budgets; assisting with prospect research; and assisting in producing special events.  Also assists in providing office-wide administrative support, as needed.  Uses available fundraising management systems to enter data, produce donor reports, perform analysis and research, and track prospects and donors. Frequent interaction with staff throughout the program, trustees, vendors and staff in other Conservancy offices.

SPECIFIC DUTIES

Works to:
  • Support the Virginia Director of Philanthropy (DOP) and her effective management of a dispersed staff. Approximately 50% of time spent on this function.
  • Support out the door philanthropy teamwork, including (but not limited to) data entry and look up, scheduling team ca11s, keeping records and donor lists, assisting with mailings, etc.
  • Schedule meetings with donors and trustees, as well as coordinate Team meetings, web-ex, conference calls, and other team activities.
  • Work closely with the Executive Assistant to the Virginia Executive Director to support the work of the Philanthropy Committee of the Virginia Board of Trustees.
  • Provide primary support for managing expenses and non-salary budget items.
  • Be the primary contact for marketing as it relates to philanthropy and outreach efforts.
  • Enter key information into FMS (donor database) in support of DOP.
  • Assist other members of the philanthropy team, when needed, on key projects and/or mailings. 

BASIC QUALIFICATIONS
  • Bachelor's degree and 1 year of related experience, or equivalent combination of education and experience.
  • Experience in MS Office, Word, Excel, and PowerPoint.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working and communicating with a wide range of people, such as board of directors, donors, volunteers, the public and/or all levels of staff.
  • Experience using written and oral communication skills.

PREFERRED QUALIFICATIONS
  • Bachelor’s degree and 1 of year related experience, or high school diploma plus 5 years related experience or equivalent combination of education and experience.
  • Demonstrated experience in MS Office, Word, Excel, PowerPoint, and Desktop Publisher.  May require database management skills and ability to produce reports.  Ability to used advanced computer functions including navigating the Internet.
  • Strong organizational skills and attention to detail required.
  • Excellent interpersonal skills.
  • Ability to organize time and manage diverse activities and meet deadlines.
  • A valid driver's license.

AUTO SAFETY POLICY

This position requires a valid driver's license and compliance with the Conservancy's Auto Safety Program.  Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers."  Please see further details in the Auto Safety Program document available at www.nature.org/careers. 

Employment in this position will be contingent upon completion of a Vehicle Use Agreement, which may include a review of the prospective employee's motor vehicle record.

  • Tracks progress on tasks and follows up as needed. 
  • May act as a resource to others to solve problems.
  • Refers difficult questions and unusual problems to supervisors.

RESPONSIBILITY/OVERSIGHT –FINANCIAL & SUPERVISORY:
  • No direct supervision of other staff but may work in a team to complete projects.
  • May work with and direct volunteers, interns, or temporary staff.
  • Limited financial responsibility, which may include check requests, petty cash, or travel arrangements.
  • May purchase equipment and supplies as provided for in budget and in consultation with supervisor.

COMMUNICATIONS/INTERPERSONAL CONTACTS:
  • Ability to work with and communicate with a wide range of people -- vendors, the public, members, donors, and other staff.  Good “customer service” skills and focus.
  • Provides other staff with information they need to make accurate and timely decisions.
  • Familiarity with standard business communications.

WORKING CONDITIONS/PHYSICAL EFFORT
  • Work requires only minor physical exertion and/or physical strain.  Work environment involves only infrequent exposure to disagreeable elements.
  • Work is performed in a typical office setting.
  • Must have valid driver’s license and safe driving record (per TNC’s Auto Safety Program.)
