ESSENTIAL FUNCTIONS
The Executive Assistant supportsthe Deputy Director of the Marketing Division, with responsibilities that require discretion, judgment, tact and poise. S/he performs a variety of high level administrative tasks, to include budget preparation, travel arrangements, meeting logistics, scheduling, and reporting and tracking information for senior management. S/he will have considerable latitude and flexibility in carrying out assigned tasks, and will have frequent interaction with staff at all levels within the organization. The Executive Assistant will make interpretations and recommendations as appropriate. S/he will assist the Deputy Director of the Marketing Division with project managing divisional marketing initiatives.

The Executive Assistant reports to the Deputy Director, Marketing Division and may manage vendors, interns or volunteers.

DUTIES
  • Support the Deputy Directorwith calendar management, travel arrangements, meeting coordination and logistics, file organization, telecommunications assistance, budget management and preparation, processing of expense reports and support for special projects, as needed. 
  • Exercises delegated financial authority in a variety of areas, such as arranging for large meetings and committing funds related to such meetings and approving expense reports. 
  • Draft and edit departmental internal communications.
  • Assist with project management of divisional marketing initiatives.
  • Act as liaison with Marketing Operations, Finance and Human Resources staff to help resolve issues and communicate pertinent information to the Deputy Directorrelated to annual performance appraisals, salary suspense and fiscal year deadlines.
  • Manage contracts and other central files for the department.
  • Supervises administrative staff and/or volunteers, interns and temporary staff, as needed.

BASIC QUALIFICATIONS
  • Bachelor’s degree plus at least 5 years related work experience or equivalent combination.
  • Experience with MS Office, including use of the Internet.
  • Experience managing coordinating the schedule and contacts of a senior leader(s).
  • Experience coordinating projects, setting realistic deadlines, managing a timeline or related experience.
  • Experience working with a wide range of people, such as board of directors, donors, volunteers, the public and/or all levels of staff.

PREFERRED QUALIFICATIONS
  • Requires a Bachelor’s degree and a minimum of five years related work experience, or equivalent combination of education and experience.
  • Demonstrated experience in MS Office Suite.
  • Proven ability to coordinate the schedule and contacts of a senior leader.
  • Ability to work independently.
  • Strong organizational skills, attention to detail, excellent verbal/written communication and proofreading skills.
  • Deadline driven with strong time management skills and the ability to manage multiple projects in a fast-paced environment.
  • Formulates and clearly communicates ideas to others, providing a variety of information to staff and others to assist workflow throughout the organization.
  • Works and communicates with a diverse group of people, including board of directors, donors, volunteers, the public and other staff.
  • Consistently demonstrates professional, positive and approachable attitude/demeanor and discretion and demonstrates sensitivity in handling confidential information.
  • Experience in PeopleSoft, budget tracking and expense reporting a plus.
  • Ability to travel between Arlington, VA & Richmond, VA on a frequent basis.
  • Personal passion for preserving and protecting the natural world with a belief in the mission, principles, and values of The Nature Conservancy’s global approach to conservation.
