Job Description:  Overall Responsibility
Under own initiative with some supervision, provides complete range of secretarial support.

Key Areas of Responsibility
1. Processes letters, memos and reports and, at times generates own correspondence.
2. Sorts daily mail and answers routine correspondence.
3. Screens phone calls. Answers telephone inquiries from internal employees as well as outside clients when possible.
4. Updates and maintains ordinary and confidential files in good order on a regular basis.
5. Handles appointment calendar. Records and verifies appointments. Arranges and coordinates internal meetings.
6. Maintains cost reports and transmittals.
7. Reviews project invoices for compliance issues and get checks signed by the proper person.

Knowledge, Skills, and Abilities
1. Proficiency in Microsoft Word and Excel is required.
2. Proficiency in Microsoft Outlook is preferred.
3. Excellent grammar skills and spelling skills.
4. Discretion is handling confidential material.
5. Excellent organizational and interpersonal skills. Ability to multi-task and interact with all levels of management in-house as well as with third party consultants.
6. Ability to prioritize a diversified workload. Good judgment, tact and initiative to make independent decision when necessary.
7. Knowledge of the A / E / C (Architecture / Engineering / Construction) Industry is preferred.

Work Experience Requirements
1. Minimum 3 – 5 years administrative experience.
2. Accounting/Finance experience preferred.

Bachelors degree is preferred.
