TNC
ESSENTIAL FUNCTIONS
Performs a variety of administrative tasks, which may include, travel arrangements and meeting logistics, scheduling, reporting, budget preparation and tracking information for management of the Reef Resilience Program.  S/he will provide direct support to the program staff.  Includes frequent interaction with all members within the organization; as well as customers, vendors, and business relations.  Will also be responsible for assisting with communication efforts related to the program.  Make interpretations and recommendations as appropriate.

JOB DUTIES

Logistics
  • Assist with organization and logistical support for international workshops and events for up to 30 participants.  These will include the East Africa TOT in June 2013 and up to four future Learning Exchanges yearly.  Tasks will include, making meeting and travel arrangements, booking flights and hotels, meals and  managing the itineraries of multiple participants from around the world, writing agendas, and creating/printing workshop materials, etc.
  • Assist with the implementation of the online course, including tracking grades and participation and submission of assignments, trouble-shooting.
  • Manage shipping of event-related materials, toolkit CD, and online course materials as needed.
  • Assist with financial logistics and reimbursements using Concur.
  • Create and manage weekly task lists for the team.

Communications
  • Advertise webinars, resources, events and toolkit changes on the Reef Resilience Network.
  • Technical support for regular webinar series, including uploading webinars to YouTube and assisting with planning and logistics.
  • Assist with editing and distributing program reports, announcements, newsletters using online email management tools.
  • Assist with production and writing of the monthly newsletter.
  • Compile news for the weekly “Coral in the News” feature on the website.
  • Assist or manage Twitter and Facebook accounts.

Program Support
  • Keep notes for important phone calls and in-person meetings.
  • Manage the program email account.
  • Manage the Reef Resilience photo archive online.
  • Assist as needed in the creation/editing of the updated Reef Resilience Toolkit.
  • Oversee regular Operations Manual updates.
  • Create and distribute surveys using online survey tools.
  • Assist as able: researching potential webinar topics and speakers, management of files related to the toolkit, write text for newsletters, R2 Toolkit,  write 2 summaries of scientific papers per month for the literature library on the website.
  • Collect and organize data related to program evaluation (google analytics, social media analytics, etc.).

BASIC QUALIFICATIONS
  • Bachelor’s degree and 1 year related experience or equivalent combination. 
  • Experience with MS Office, including use of the Internet.
  • Experience coordinating projects, setting realistic deadlines, managing a timeline, or related activities
  • Experience working with a wide range of people, such as board of directors, donors, volunteers, the public and/or all levels of staff.

PREFERRED QUALIFICATIONS
  • Excellent verbal and written skills in English and / or other language(s) which may be relevant in the department/region. 
  • Strong organizational skills and attention to detail.
  • Ability to organize time and manage diverse activities.  Meet deadlines.
  • May require database management skills with ability to produce reports.  Ability to use advanced computer functions including navigating the Internet.
