AECOM is seeking an eProcurement Coordinator to serve as a key member of our Global Procurement Team and to be responsible for daily oversight of AECOM’s Coupa procurement platform including overall system performance, development and oversight of a global supplier enablement program, and working with key internal stakeholders to align system procedures with business requirements and Procurement policies. The eProcurement Coordinator will direct the design, development and implementation of systems and procedures to effectively connect suppliers to the Coupa system, to maintain electronic catalogues specifically designed for AECOM’s use, and to effectively meet the structural needs of AECOM’s global footprint. They will develop and deliver training for all vendors and internal users to optimize the performance and ease of use of the AECOM Coupa platform and provide ad-hoc reporting and informational queries as required to support the business.
Responsibilities:
Overall responsibility for day-to-day operations, configuration, and performance of the Coupa eProcurement system. Develop and implement supplier enablement strategies
Enroll and connect suppliers to the Coupa system
Monitor and evaluate electronic connections and processes
Manage online catalogues to optimize proper type, configuration, update frequency, accuracy and performance
Support rollout of eProcurement system globally by: Managing users globally Proper structuring of processes, catalogs and languages through content groups and data segmentation.
Working closely with local Finance and Purchasing teams to identify local requirements.
Management of Americas vendor enrollment, with oversight of vendor enrollment in other global regions.
Provide user support and training for all assigned systems and processes.
Serve as central point of expertise and knowledge of systems and procedures. Own the continued improvement of the user experience as it relates to all procurement processes. Consult with users, management, vendors and IT to assess and address procurement needs. Escalation point for system exceptions and high-value transactions.
Administer users company-wide, including regular usage reports and development, assignment, and maintenance of user roles.
Manage Coupa relationship, acting as central point of contact for performance issues, regular reviews, and contractual/development requirements and modifications.
Contribute to the development and implementation of improved procurement processes and systems including optimization of the procure-to-invoice process based on business needs and strategic objectives.
Develop and deliver spend analysis reporting as needed in support of procurement buyers, category managers, and end users, including an eProcurement dashboard report.
Develop specialized reporting and informational queries to support procurement and vendor performance monitoring.
Maintain quality assurance of e-procurement processes and support overall procurement objectives, including environmental sustainability initiatives.
Prioritize tasks consistent with meeting overall organizational goals.
Perform other related projects and duties as requested.
Requirements:
4-6 years of experience in a multi-tasking environment with a demonstrated technical proficiency in e-procurement systems – specifically Procure to Pay programs such as Coupa, Ariba, Oracle iprocurement. Experience with Coupa a plus.
Comprehensive knowledge of system applications and design.
Strong analytical skills with ability to identify trends and solutions. Adept at research and problem solving. Quick learner of system structures and processes. Capable of leveraging technical skills and knowledge across multiple disciplines in support of varying and complex business needs. Ability to create and manage various reports, strong data gathering, presentation and communication skills.
Proven planning and prioritization skills with the ability to multitask and maintain responsibilities by adapting to change.
Excellent verbal and written communication skills.
Ability to collaborate with and influence a diverse group of people to achieve mutually beneficial solutions.
Strong project management skills and understanding of procurement functions .
Ability to handle multiple projects at the same time and close advanced projects on time with minimal supervision.
Bachelor’s degree from a four-year college or university.
ISM CPSM certification preferred.
Six Sigma and CPM certification a plus.
