TNC ESSENTIAL FUNCTIONS Responsible for the day-to-day administration of office activities including: telephone and public reception, maintenance of office supplies and equipment, management of incoming and outgoing mail, administration of the General Illinois e-mailbox and the Outlook calendars, purchasing requests, management of vendor relationships, and general office duties. The general office administration functions include organizing information and materials, verification of accuracy, filing and maintaining files, and other related support tasks. The Office Administrator assists in financial administration including processing petty cash, accounts payables, and incoming checks and preparing invoices and preparing and reviewing expense reports. The Office Administrator maintains insurance and licenses on vehicles within the state. The Office Administrator provides human resources support and serves as the Time Report coordinator for Illinois chapter staff. The position assists the Director of Operations in recruitment and in preparing and processing human resources paperwork. The Administrator orients new Illinois staff to the Nature Conservancy and orients and trains new Chicago-based staff on general office systems and procedures. The Office Administrator collaborates with the Technology Information Systems Operations Manager (TISOM) to maintain and troubleshoot the office telephone system and to assist with server maintenance. The Administrator is the key Illinois Connect site administrator. The Office Administrator supports the LEAF and LEED programs through recruitment, purchasing and expense and contract processing and communications. The Office Administrator assists the Director of Government Relations in the preparation materials for use with government officials and maintains databases of legislators and districts. The position provides administrative support for the Director of Operations and Director of Government Relations including meeting preparation, travel arrangements, and expense reporting. The Administrator may perform other duties as assigned. This position includes frequent interaction with all members within the organization as well as donors, trustees, volunteers, and vendors.
