ESSENTIAL FUNCTIONS
The Operations Assistant is responsible for greeting visitors, phone reception, and mail distribution within The Nature Conservancy’s Boston office. S/He manages the accounts payable system, VPR (Vendor Payment Request system), by working with various staff and departments to ensure bills are paid efficiently. S/he works with staff and vendors to troubleshoot accounting problems and create reports. The Operations Assistant is also responsible for supporting Massachusetts Chapter Conservation Programs staff with administrative duties, including travel arrangements, meeting logistics, research and data/report preparation. This position reports to the Director of Operations and is part of a small Operations team that works closely to ensure the overall smooth functioning of the Boston office. The Operations Assistant is a part-time position at 21 hours/week. Currently, this position would need to work Wednesdays, Fridays and one other weekday of the Operation Assistant’s choice.

DUTIES
  • Act as primary point of contact for visitors and staff. Ensure reception area is kept neat and publications are updated.
  • Manage phone reception - forward appropriate calls and return generic voicemails.  Assist the TIS Manager with Perform operation and programming tasks involved with the telephone and voice mail system.  This involves installation of new users, maintenance of system recordings, and training staff in use of the system.
  • Process all incoming and outgoing mail. Receive, stamp and ensure incoming checks (donations) are delivered to the correct staff member.
  • Manage the accounts payable system for Massachusetts Chapter staff. This includes working with the Director of Finance on data and reports, working within the VPR system to prepare invoices, resolution of problems relating to accounts payable, and maintenance of friendly relationships with vendors. Via VPR, track invoices paid and centers/accounts charged; train staff and act as a resource to all staff in answering payment questions.
  • Assist staff with conference room/meeting logistics as necessary.
  • Assist the Director of Operations and Director of Finance with additional projects as time permits.

  • BASIC QUALIFICATIONS
    • Associate’s degree, technical education or 2 years of related experience; or equivalent combination.
    • Experience providing administrative support including some or all of the following:  phones/customer service, mail distribution, coordinating travel arrangements or related activities.
    • Experienceorganizing files, coordinating projects or meetings, or related. 
    • Experience using MS office, Word and Excel.

    PREFERRED QUALIFICATIONS
    • Associate degree, technical education or 2-3 years of related experience; or equivalent combination.
    • Service oriented.  Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
    • Demonstrated flexibility to changing situations and priorities.
    • Strong communication skills, organizational skills and attention to detail.
    • Experience in MS Office, Word and Excel. May require Power Point and Database Management skills.  Ability to use advanced computer functions including navigating the Internet.
