ESSENTIAL FUNCTIONS
This position provides a full range of administrative and/or program support to the Trade Lands Dispositions Department and the Director of Business Operations.  These functions may involve various office tasks including, but not limited to: answering phones and responding to general inquiries, setting up and managing utility accounts, processing invoice payments, filing and managing files, sorting and distributing mail, maintaining equipment, ordering office supplies, working with vendors, drafting correspondence, transcribing voicemails and managing the file archiving process.  This may also include assisting in the development of fundraising, communications and/or educational materials, conducting program data research and/or producing narrative or financial reports as needed.  S/he may prepare accounting forms and disbursement requests, monitor income and expense budgets and review internal and partner financial reports. S/he provides efficient and timely action on administrative matters, the preparation of correspondence and materials, may communicate on behalf of the supervisor with internal and external sources, including staff, partners, government officials and donors.  S/he may handle domestic and international travel arrangements and calendar for supervisor and coordinate logistics with others as needed.  S/he may be responsible for departmental calendar and filing, as well as back-up administrative assistance to the department. Additionally, this position will provide direct support and assistance to the Director of Business Operations. Responsibilities may include: administrative duties related to the organization’s insurance program, support for the Worldwide Office Operations Team, and duties related to the overall growth of the Trade Lands program.

BASIC QUALIFICATIONS
  • Associate’s degree, technical education or 2 years of related experience; or equivalent combination.
  • Experience providing administrative support including some or all of the following:  phones/customer service, mail distribution, equipment maintenance, drafting correspondence, coordinating travel arrangements or related activities.
  • Experienceorganizing files, coordinating projects or meetings, or related. 
  • Experience using MS office, Word and Excel; and navigating the Internet.

PREFERRED QUALIFICATIONS
  • Associate degree, technical education or 2-3 years of related experience; or equivalent combination.
  • Excellent verbal and written skills in English and other language(s) which may be relevant in the department/region. 
  • Experience in MS Office, Word and Excel. May require Power Point and Database Management skills.  Ability to use advanced computer functions including navigating the Internet.
  • Service oriented.  Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
  • Demonstrated flexibility to changing situations and priorities.
  • Strong communication skills, organizational skills and attention to detail.
  • May require fluency in foreign language(s) to support global operations. Specific language(s) may be preferred depending on operating unit.
