| Job Description: |
Under direct supervision, provides standard administrative and secretarial support on location for a Construction Project Team. This is a field construction site office. The contract dictates that the person must currently reside in Jersey City! Prior experience working for a construction/engineering/architectural firm is highly desirable, along with the residency requirement. Bi-lingual (English/Spanish) skills also highly desirable. B. Key Areas of Responsibility 1. Processes reports, memos, meeting minutes, and contract related documents as needed. 4. Answers phone, screens calls, takes messages and refers extraneous calls to proper departments. Covers nearby phones when needed. Handles reception desk when necessary. 5. Updates and maintains files in good order on a regular basis. 6 . Assist employees with completing timecards and other Oracle-realted tasks (expense reports, Perf Management, online registrations, etc). Makes travel arrangements for airline, hotel and car reservations for employees if needed. 8. Gathers receipts and back-up material for manager's expense reports. Prepares reports, obtains report approvals and forwards reports to the Accounting Department. C. Knowledge, Skills, and Abilities 1. Knowledge of Microsoft Office Suite or products- Word, excel, Powerpoint skills are required. 2. Good grammar and spelling. 3. Must be able to screen calls and handle manager's appointment calendar effectively. D. Project Specific Experience, Tasks, and Responsibilities 1. Mailing/Shipping packages. 2. Faxing 3. Field office distribution. 4. Enter/Key in daily reports. 5. Maintain progress photos. 6. Order office supplies. 7. Prepare Welcome Package to new subcontractors onsite. 8. Key in RFI's and maintain RFI files/books. 9. Maintain contact lists. 10. Invoice control. 11. Partial filing of submittals. 12. Prepare meeting minutes for weekly subcontractor coordinations meetings. Arrange to have all open RFI's, submittals, and PI's report for weekly Owner's meeting.
