TNC ESSENTIAL FUNCTIONS The Executive Assistant, Conservation Programs, provides administrative, organizational, communications and other assistance to the Director of Conservation Programs and to the Chapter, providing back-up support to the Executive Director's office as needed. Duties include supporting the Director of Conservation Programs in areas such as scheduling, travel arrangements, processing of expenses, and copying and maintaining program filing systems. The Executive Assistant also supports the program with meeting organization, including but limited to scheduling, management and distribution of agendas/meeting materials and timely dissemination of minutes/action items. Additional responsibilities include coordinating logistics for major team activities, setting up and maintaining key information systems, managing and formalizing program contracts, helping to administer plans and budgets, processing some grants, ensuring program compliance with internal policies, maintaining the Conservation Programs SharePoint site, fostering information-sharing and collaboration across geographically-dispersed staff and Conservation Management, and other duties as assigned. The EA assists the Director of Conservation in developing and implementing policies, procedures, and decision-making processes, and provides a framework of proactive and diligent support for both the Director of Conservation Programs and the Executive Director's office, independently identifying needs and providing solutions. Duties require development of a comprehensive knowledge of the Conservancy's policies, procedures and operations. Responsibilities require confidentiality, discretion, judgment, tact and poise. The candidate must possess strong communication skills, be technologically savvy with standard business software, tools and equipment, and exhibit exceptional efficiency, professionalism and maturity. S/he performs diverse, highly responsible, complex, and non-supervised functions that require recurring contact with senior managers, administrators, directors, and department heads both internally and externally. S/he must exercise independent judgment in managing daily office activities, and discretion in the dissemination of information to staff and external contacts. TNC BASIC QUALIFICATIONS
