AECOM is seeking an Administrative Assistant to provide support for two Corporate Departments – Tax and Real Estate Services. We are seeking an experienced and professional individual for this high profile position.
Key Responsibilities
- Perform day-to-day tasks including, but not limited to, managing detailed business and personal calendars, meetings and logistics; handling phones; prioritizing mail; preparing materials; filing; and setting up department activities
- Ensure leaders are prepared for all meetings to include organizing appropriate staff work such as read-ahead material, talking points and other relevant material.
- Perform research such as executive travel briefings, events planning, AECOM policies and other matters at the direction of the leaders
- Manage special projects and special events
- Create and/or update documents (Word and PowerPoint)
- Manage request for information from the department
- Assist in general office management responsibilities such as ordering supplies, processing invoices, etc.
- Prioritize requests and ensure deadlines are met
- Respond to inquiries; oversee incoming communications, and, when appropriate, take action on the leader’s behalf
- Arrange international and domestic travel agendas; prepare travel and expense reports on a timely basis
- Be versed in dealing and interacting with senior executives and other key stakeholders
- Proof read documents and correspondence
- Maintain accurate databases electronically to include address books, files and contacts
Professional Experience
- Minimum of 3-5 year’s experience in an administrative assistant capacity to senior leadership
- Meticulous skills with a verifiably excellent performance track record
- Bachelor's degree
- Experience working in a distributed global environment and across multiple timezones
- Understanding of business departments and organizations
- Skilled in upper-level administrative support functions
- Highly proficient technical skills (Microsoft Outlook, Excel, Word, PowerPoint)
- Experience working in a highly demanding and fast-paced environment
- Experience working with highly sensitive and/or confidential information
- Ability to think and act independently and strategically
- Highest degree of integrity, professionalism, diplomacy, and discretion required
- Ability to handle multiple tasks efficiently and effectively and meet tight deadlines
- Ability to anticipate and address issues and needs
- Must demonstrate good judgment and decision making capabilities
- Must be a resourceful and independent thinker
- Must be a self starter with excellent prioritization skills
- Excellent verbal and written communication skills
