Requisition ID: Work Location: Pueblo Chemical Depot - Pueblo, CO. Unescorted access to the Chemical Limited Area candidate must successfully clear National Agency Check (NAC); all employees are subject and agree to random drug and alcohol testing as a condition of employment. Must be physically fit and able to work safely at a construction site. Based on project goals and objectives, candidates established within our local community are desirable. Role Overview This role will support the Operations Manager providing clerical and administrative support of a responsible and confidential nature to the Operations Organization for the Pueblo Chemical-Agent Destruction Pilot Plant (PCAPP) Project. Individual will exercise a high degree of individual initiative, discretion, diplomacy, accuracy and judgment; Independently anticipate problems and changing priorities; alerts departmental managers and may take action to adapt manager's schedule and commitments accordingly; Function well in fast paced environment and deals with pressure in a professional and positive manner. Individual will adhere to company and department policies and objectives. Principle responsibilities may include but are not limited to: - Maintain controlled hard copy files of project documents for Operations
- Process, review, log, copy, distribute and file various Operations documentation
- Perform data entry and query functions as needed using InfoWorks (Bechtel's electronic document management system) and other databases as required; interfacing with Document Control
- Prepare and process documentation for scanning and archiving
- Extract reports and perform a variety of queries using other standard office automation and InfoWorks
- Prepare and distribute notices, agendas, information packets, and minutes
- Provide word processing support, as needed, including correspondence, meeting minutes, proposals, presentations and reports
- Interface with document control personnel to ensure necessary project records are captured. May set up and maintain project files
- Make recommendations for work process improvements, procedures and practices
- Provide support for special assignments, as requested
- Flexible to work overtime on an as-needed basis
- As determined appropriate, compose routine correspondence
- Completes business independently, as appropriate
- Generate and organize material for meetings or presentations
- Coordinate and ensure smooth flow of information
- Perform other duties as assigned by Office and Administrative Services Manager or Operations Management
- Performs varied clerical and secretarial duties requiring knowledge of programs and procedures related to site administrative activities.
- Ability to lift items weighing up to 50lbs
Basic Qualifications - Right to work and remain in the United States without sponsorship
- High school diploma and 3 years related experience.
- Must be able to demonstrate basic to intermediate proficiency using Microsoft Excel, Word, and PowerPoint. A skills assessment will be administered to test proficiency.
Additional Information Minimum Qualifications - Exposure to MS Access and SharePoint.
- Knowledge of document control and associated work processes
- Demonstrated ability to set up and maintain project, document control or departmental filing systems and procedures
- Demonstrated familiarity with a variety of project documents and document processing requirements
- Data entry experience/skills
- Works well with others as a team and independently
Preferred Qualifications - Prior experience in a construction environment
- Prior experience within an Operations organization
- Knowledge of Operations processes and procedures
- Advanced skills in MS Excel, PowerPoint and Word with basic to intermediate skills in MS Access and SharePoint
- Demonstration of excellent verbal and written communication skills
- Prior experience performing proofreads and technical edits of documents and or presentations
Hours will start out as 6:00am - 4:30pm, Monday - Thursday until Operations implements the DuPont Shift Schedule (estimated to start in July-August 2013) at which time the position will roll into a rotating shift schedule which includes working weekends, nights and days. During operations, in approximately 2016, this project will be subject to the Army Regulations (AR50-6 Chemical Surety) which governs persons performing work under the Personnel Reliability Program (PRP) and Unescorted Access Program (UAP). Depending on the work performed and the access granted a government security investigation and other physical requirements such as respirators may be mandated.
