Job Description

We are seeking a resourceful individual that is capable of growing within our organisation, the successful candidate will be expected to exhibit experience gained from previous positions from the outset, be willing to take on varied tasks with an attention to detail that enables them to operate effectively whilst continually improving their position.

Patiently working as part of a team they should expect to take on mundane tasks as well as more complex interesting ones. Having the ability to listen to others, follow instructions, and grasp concepts quickly they should be able to use their experience to quickly become a valued team member. The person will need to take increasing ownership of tasks assigned to them in order to progress. Experience of working in the Engineering / Construction environment is useful, but not essential. The successful candidate will be able to exhibit how they have grown in their career to date. Where experience is lacking they should be prepared to seek support from others in the team so as to increase / learn new skills while in the role.

Our working environment is fast track. The successful candidate shall exhibit qualities that can provide professional service to our customers at a high standard. We need to respond quickly and effectively to meet the immediate needs of our projects and at the same time work towards standardising our processes and methods. Continuity is important; the role will involve personal note taking so as to record / document what and how we carry out tasks. This is to allow others to cover for us in times of absence and or allow successful practices to be quickly and efficiently transferred to other projects.

Operating as part of the project electronic document management team you will report to the project document control lead or supervisor. You will be responsible for supporting the EDMS in following the document control processes on the project.

Document control processes have evolved over the years such that Document handling will primarily be electronic. The job will involve working closely with users (Engineers / Procurement Construction Personnel etc.) in supporting and training the use of the Electronic Document Management System (EDMS), nurturing best practice in electronic document handling.

The successful candidate should be able to exhibit skills in the following or compatible areas:

Document Handling

Possess a good level of understanding in the formatting of documents. For example: Documents generated by Microsoft Word i.e. the use of tabs and page breaks, headers and footers, paragraph numbering etc. (Note: The job will not involve word processing but will involve un ravelling problem documents produced by others). The expectation is that the candidate will have skills that extend to other Microsoft applications and an aptitude to problem solving in other software's at the document level, this should extend to PDF generation and manipulation, a good knowledge of Adobe or Nuance is desirable.
Experience of scanning technologies and an understanding of OCR techniques - Desirable.

EDMS (Documentum) / Livelink or similar
Experience of the use of Documentum is desirable, we are not looking for a Documentum technician - the successful candidate will be able to demonstrate the use of an EDMS system supported by an in depth understanding of how it is working to support work process.

Administration will typically involve creating new users, groups, roles and access control lists, supporting distribution tools / matrix, bulk loading, exporting and compiling electronic handover media.

Technically this experience should extend to an understanding of the (document level) database structure behind the EDMS and therefore the use of a suitable query language (DQL or similar). An understanding of other database systems is desirable as is possessing an aptitude to databases and there application to business processes.

The ability to use, SQL server reporting services, Microsoft Access and or crystal reports for report generation is essential.

The ability to use Microsoft access and or visual basic to develop simple applications to support EDM processes is desirable, The successful candidate shall as a minimum be able to exhibit the effective use of spreadsheets as a support tool, i.e. understand functions such as vlookup, mid, right, left for data manipulation and pivot tables for reporting etc.

It is expected that the candidate will have the patience and attention to detail to be able to efficiently support issues and problems to meet project timescales. Working proactively the successful candidate will be expected to develop their experience to be able to intuitively spot and address potential problems before they become a problem.

  • Working to deadlines and managing time. We anticipate the workload to fluctuate, the ability to manage personal workload and be flexible to work additional hours, when required, at short notice. - Essential
  • Punctual good time keeper.
  • Ability to exhibit an understanding of the lifecycles of different types of documents within an Engineering, Procurement and Construction environment. Experience of processing documents, forms, administration of work processes etc from other industries will be sufficient.
  • Attention to detail, ability to spot irregularities in data, documents and processes.
  • Experience of using and deploying an EDMS system. - Essential
  • Ability to use Excel as a tool, capability to accurately maintain an excel spreadsheet - Essential
  • Ability to use Access as a business tool - Desired - aptitude for databases and their use in a business environment - Essential
  • Ability to use other Microsoft applications to a good standard - Essential
  • Exposure to other IT systems such as CAD, Desktop Publishing, Websites etc
  • Experience of using bulk load and exporting techniques - Useful but not essential
  • Experience of uploading and downloading documents from a file transfer medium. - Useful but not essential.
  • Ability to travel on business to project offices abroad as required.
