Bechtel is seeking an Office Services Assistant for our San Francisco office. This position will perform the daily activities of facilities management service functions assigned by the Facilities Planning and Administration Manager.

Duties include:
  • Tracking all office space changes (assuming and releasing) for all groups residing in San Francisco headquarters as well as our international Corporate office in Reston, VA, using AutoCADD and Manhattan Centerstone program (IWMS)
  • Generate monthly rent bills via OBARS, working closely with our BBS team in Glendale as well as our resident groups for accurate billing information.
  • Maintain utilization metrics and reports, including updating personnel data and related information, and distribute as required.
  • Maintain Centerstone space module data, including working with outside consultant and Manhattan technical support to troubleshoot problems as well as orchestra enhancements and upgrades to current system.
  • Act as Bechtel's primary liason for all Centerstone users which includes assisting new users in developing a migration/implementation plan and providing guidance in terminology, adhering to Bechtel's standards in consistently measuring spaces and tracking metrics and acting as catalyst to resolving issues between user groups and vendors/consultants.
  • Assist with the preparation of our bi-annual Global Facilities report which requires working closing with supervisor and various Bechtel groups around the world to produce an accurate report that is used not only by all Bechtel organizations, but also our Finance department and on-site auditors for tracking financial commitments.
  • Assist other team members in the processing of invoices as well as contract administration as required. Perform a variety of other administrative duties or special assignments as requested

Basic Qualifications:
  • Bachelor'sDegree
  • At least three years of facilities experience
  • The ability to work and remain in the U.S. without sponsorship

Additional Qualifications:
  • A basic understanding of AutoCAD
  • Intermediate MS Office and Outlook skills and proven ability to use Excel
  • Excellent oral and written communications skills
  • Able to provide a high level of proactive client services and interact with employees at all levels of the organization
Preferred Qualifications:
  • Strong organizational skills and the ability to work cooperatively within a team environment
  • Knowledge of furniture systems and/or facilities management preferred
  • Working knowledge of developing written procedures and maintaining BOMA standards
  • Ability to work with employees and vendors, troubleshoot issues and offer solid business resolution to problems
  • Ability to multi-task and adapt to changes as priorities shift to include frequent interruptions and tight deadlines
  • Ability to analyze new and changing scenarios and adapt the project to them
  • Ability to thrive within an environment that relies heavily on teamwork
