The Pennsylvania Chapter of The Nature Conservancy seeks a skilled and committed administrative support person for the position of Administrative Assistant. The position, located in Harrisburg, Pennsylvania, offers the opportunity to join the staff of one of the largest, most successful conservation organizations in the world. The Nature Conservancy's global success can be measured by the protection of 117 million acres in over 30 countries. The Pennsylvania Chapter is known in the Conservancy and beyond as a leader in innovative, effective strategies that benefit both people and nature at a scale that matters. Our past successes include protecting over 80,000 acres of key habitat and helping to restore natural, healthy flows to Pennsylvania's three great river systems. The Administrative Assistant will fill a key support role in achieving the Chapter's goal to protect the lands and waters of Pennsylvania, the region, and the world for future generations.

ESSENTIAL FUNCTIONS
The Administrative Assistant provides efficient and timely action on administrative matters and is responsible for supporting Pennsylvania Chapter staff  with a full range of duties including vendor payments, fielding and directing inquiries, real estate tax and lease payment tracking, contracts management, meeting logistics, ordering supplies, and research and data/report preparation. This position reports to the Director of Operations and is part of a small administrative team that works closely to ensure the overall smooth functioning of the Pennsylvania Chapter. 

The Administrative Assistant is also responsible for greeting visitors, phone reception, mail distribution, petty cash administration, and scheduling vehicle maintenance and repairs for The Nature Conservancy's Harrisburg office. S/he manages the accounts payable system by working with various staff and departments to ensure bills are paid timely.  S/he works with staff, Accounts Payable and vendors to troubleshoot accounting problems and may monitor income and expense budgets.

The Administrative Assistant prepares correspondence and materials, and may communicate on behalf of the supervisor with internal and external sources, including staff and partners.  S/he assists the technology manager with the operation and programming tasks involved with office systems and updates to the internal website.  S/he also plans, coordinates and implements all staff and other meetings and provides support as needed to staff located in other offices within Pennsylvania.

BASIC QUALIFICATIONS
  • Associate's degree, technical education or 2 years of related experience or equivalent combination.
  • Experience providing administrative support including some or all of the following:  mail distribution, accounts payable, organizing files, coordinating projects and meetings, or related. 
  • Experience in customer service and/or written/verbal communication with staff, vendors, customers, the public, or others.
  • Experience using Microsoft Office; Outlook, Word, Excel, PowerPoint.
  • Experience using advanced computer functions including database applications and navigating the Internet.

PREFERRED QUALIFICATIONS
  • Excellent verbal and written skills in English.  
  • Ability to organize time, manage diverse activities and meet deadlines.
  • Power Point and Database Management skills.  Ability to use advanced computer functions including navigating the Internet.
  • Service oriented.  Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
  • Demonstrated flexibility to changing situations and priorities.
  • Strong communication skills, organizational skills and attention to detail.

AUTO SAFETY POLICY

This position requires a valid driver's license and compliance with the Conservancy's Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers." Employment in this position will be contingent upon completion of a Vehicle Use Agreement, which may include a review of the prospective employee's motor vehicle record.

SALARY INFORMATION
  • $18.50/hour, 35 hours/week
