Requisition ID: Bechtel is currently seeking an Administrative Assistant for the San Francisco, CA office. The Administrator will perform a variety of administrative duties and tasks to support mobile software development and the Computer Incident Response team. The successful candidate will be responsible for, but not limited to the following: - Receives and screens phone calls and-or visitors and directs them to the appropriate parties
- Coordinates with teams to ensure appropriate actions are completed
- Develops and maintains desktop procedures
- Composes and distributes complex correspondence using standard word processing systems
- Keeps abreast of key issues, commitments, and priorities of manager and office
- Researches and compiles progress summary reports and other information as needed
- Reviews outgoing documents for accuracy and format
- Coordinates requests from clients, managers, and project staff
- Collects, reviews, and distributes incoming hard copy and electronic mail to appropriate parties
- Coordinates and organizes meetings and events
- Provides facilities planning (availability of space) for the project including floor plans and coordination with staff needs to ensure that tasks are appropriately carried out
- Purchases and maintains office supplies
- Develops and guides the implementation of office procedures
- Provides contract support including processing of sub-contract insurance certificates and invoices
- Resolves daily administrative issues on the project
- Compiles information; analyzes and prepares routine studies and reports as directed by the office management
- Coordination of office needs for computer equipment with IS&T and provide support as needed
- Serves as the office point of contract for facilities rules, notifications, and needs
- Maintains company assets
- Performs other duties and tasks as needed support the market office and Personnel
Level I Qualifications: - A minimum of 2 years current Administrative experience
- Eligibility to work and remain in the United States without sponsorship
- Bachelor's degree
Level II Qualifications: - A minimum of 5 years current Administrative experience
- A minimum of 3 years Macintosh and PC platform experience
- Eligibility to work and remain in the United States without sponsorship
- Bachelor's degree
Additional Qualifications: - Strong Macintosh and PC platform experience
- Experience in the Information Technology Industry
- Demonstrates excellent communication skills (oral and written) in English
- Possesses a high degree of individual initiative, discretion and diplomacy
- Knowledge of standard office automation tools, including Microsoft Outlook, Word, Excel, Access and web-based file transfer software
- Ability to organize and prioritize administrative deliverables
- Must be willing to work overtime as required with minimal notice
- Experience working within a large enterprise is preferred
