Requisition ID: Legal Holds Administrator: Provides comprehensive electronic database and information management support to Legal and Risk Management Departments. Performs special assignments requiring a thorough knowledge of specific subject matters, e.g., litigation support, e-discovery, preservation hold practices, and procedures. Assists in employee development/utilization by sharing general knowledge of company and people issues. May direct the activities of others. Coordinates and monitors work flow and quality of work within assigned area. SUMMARY: Implements and administers legal holds and matter management systems.. Performs regular checks to ensure quality and accuracy. Coordinates the implementation of the identification, preservation, and collection of materials and information related to the company's disputes Conducts software training. Develops and generates standard and ad hoc reports from various company systems. Organizationally the position will be part of the Risk Management Group and with respect to Risk Management will report to the Senior Information Resources Manager and with respect to the Legal Department to designated Senior Counsel, respectively. ESSENTIAL JOB DUTIES: - The core responsibilities of this position will be (1) the management and supervision of a legal hold software application; and (2) the management and supervision of matter management applications.
- Supervises use of legal holds and matter management applications.
- Advises in-house attorneys, paralegals and IS&T teams on best practices.
- Monitors and maintains compliance with legal holds protocols.
- Works with Risk Management's Senior Information Resources Manager and Legal's nominated Senior Counsel to establish standard practices in use of matter management and holds software.
- Works with in-house counsel to define legal holds requirements and designs matter specific protocols.
- Conducts searches for persons of interest and potentially relevant sources of information.
- Coordinates retrieval, preservation, organization and collection of Company's electronic records at the direction of counsel.
- Works with IS&T on preservation plans and collections.
- Responds to inquiries from company employees regarding their preservation holds obligations
- Designs complex database searches.
- Prepares regular and ad hoc reports for legal teams, record managers and IS&T from various systems including matter management and legal holds software systems.
- Administers access to matter management and legal holds software. Edits and maintains hold and preservation plan templates.
- Tracks, troubleshoots and resolves software issues.
- Assists with softwareinstallations and upgrades, analyze and troubleshoot application issues.
- Administers and maintains inventories of legal information assets including legal holds software servers.
- Facilitates and conducts training sessions on preservation holds and matter management software.
- Prepares training materials and coordinates user group meetings.
- Works on improving communications regarding legal holds process in collaboration with Senior Counsel and Senior Information Resources Manager.
- Informs Senior Information Resources Manager regarding project progress and issues.
- Creates and maintains project documentation, ensuring a clear audit trail.
- Works on other information resources projects as requested.
JOB KNOWLEDGE: - Bachelor Degree with a minimum of 7 to 10 years' experience in litigation support working on large, complex litigation in a large law firm, corporate legal department or litigation support vendor.
- Knowledge of and experience working with Microsoft Office (particularly Excel and Access)
- Knowledge of structuring Boolean searches and SQL search logic.
- Advanced knowledge of litigation applications and discovery processes and technologies, including e-discovery. Experience with Atlas PSS a plus.
- Superior attention to detail, problem solving capabilities and multitasking skills.
- Must be proactive, able to work independently, prioritize workload, exercise judgment and discretion and act as liaison among IS&T, in-house and outside counsel.
- Must be able to analyze and interpret information and make recommendations for action.
- Must be at ease communicating in professional manner, both in writing and orally. Ability to articulate complex technical issues to non-technical audiences.
- Must be comfortable working with all levels of in-house and outside counsel personnel.
- Ability to travel occasionally.
