ESSENTIAL FUNCTIONS
Provides overall direction/leadership for all activities related to accounting/finance, administration, personnel, and information systems within the Worldwide Office (WO) Marketing Division, one of the largest, most complex Operating Units (OU) at the Conservancy.  S/he is part of the management team. S/he is responsible for overseeing the development and implementation of annual budgets (currently $52M) and manages the processes for annual planning, submission of periodic and annual financial and technical reports and monitoring progress of goals. S/he is responsible for developing operational guidelines to ensure efficient management of the division and compliance with regulations.  S/he may oversee the coordination of trainings/meetings and document activities, strategies and lessons learned as appropriate.  S/he works in collaboration with other operations staff on personnel and HR-related issues and provides guidance to others in satisfying administrative requirements by working closely with the Operations Manager and the HR Manager.  Duties are highly confidential and require broad and comprehensive knowledge of TNC's policies. 

This position reports to the VP of Marketing.

The Director of Finance & Operations manages three people.  Areas of concentration on the Finance portion of the position include, but are not limited to:
  • Preparing and analyzing the periodic financial reports on the performance of numerous marketing initiatives and the division.
  • Ensuring the accuracy of details such as journal entries, cash receipt recording, adjustments, and accounting treatment questions that arise from across the organization.
  • Tracking revenue & spending and maintain organizational emphasis on the financial impact of decisions.
  • Develop ad hoc reports to provide insight as needed, in support of leadership decision-making.
  • Track UBIT, loans and lobbying functions for reporting purposes and to maintain commitments.
  • Ensure that financial commitments to the field are upheld and serve as a relationship builder.
  • Help to develop and implement new ideas that improve the financial sustainability of the organization and the division.
  • Assist with the development of year end projections on marketing revenue and expenses, and preparation of the annual budget.
  • Ensure staff compliance with organizational policies and standard operating procedures.
  • Understand new finance-related technologies being developed by the organization, and train others in their use.
  • Serve as the lead person responsible for interacting with internal and external auditors and providing the requisite information. 

Additionally, this person will be responsible for establishing and managing a central Contract Administration function for the Division.  Among the responsibilities in this function:
  • Review, edit drafts, and prepare for legal review moderate to complex non-routine contractual instruments for marketing staff including Requests for Proposals (RFPs), statements of work, contracts, contract amendments and extensions, and other related items.
  • Maintain excellent knowledge of TNC corporate policies and procedures, and work to identify needed improvements to established policies in keeping with the underlying principles. 
  • Analyze and identify issues in preparation for collaboration with legal staff with regard to complex contract negotiations, and work with legal staff to develop strategies to work the issues to resolution.
  • Create and maintain reference materials, training materials and provide training and guidance to staff regarding contracts/grants/donations work flow process.
  • Streamline and systematize contracts work flow.
  • Maintains and review a central repository (both electronic and hard-copy) of all legal documents including contracts, grants, donations, RFPs, delegation of authority, etc.
  • Interface with business unit management teams, project or product managers, mid-to senior level management, and vendor/supplier's legal department.

BASIC QUALIFICATIONS
  • Bachelor's degree in business/accounting and 4 years related work experience, or equivalent combination. 
  • Experience working with GAAP and fund accounting principles, practices and regulations.
  • Experience using and maintaining automated accounting systems.
  • Supervisory experience
  • Experience leading projects in a multi-unit organization.

PREFERRED QUALIFICATIONS
  • MBA or CPA strongly preferred.
  • Knowledge of GAAP and understanding of fund accounting principles, practices and regulations.
  • Understanding complex accounting/financial issues related to non-profits.
  • Solid knowledge and experience using automated systems.
  • Strong organizational skills and accuracy, attention to detail and ability to multi-task.
