Associate Office Administrator Contract is pending award The Associate Office Administrator shall be a functional Subject matter expert and provide support on the contract to include the following: 5.2.4 Administrative Support Level IV • Background in Vietnam War history (preferred) or Cold War history (desired). • Maintaining documentation with travel, training and services for the task group. • Assisting with filing of correspondence such as office copies of memoranda with enclosures/attachments, requests from/to individuals and travel documents (orders, completed vouchers and substantiating documents). • Assisting in the reproduction of documents such as meeting notes, briefing materials and meeting and agenda documents. • Assisting in the preparation of maintenance requests for vendors associated with copiers, fax machines and scanners. • Ensuring internal and external rosters and directories are current. • Assisting the Directorate Chiefs in completing non-technical tasks. • Coordinating with building property management (parking, heating/cooling. • Facilitate distinguished visitor building access and parking • Assisting in the set-up and tear-down of meetings and conference. • Producing PowerPoint briefings to senior office members. • Cross-referencing data lists across multiple platforms and combining them into an easy and searchable platform for the client (PDF to Excel to CSV, etc) • Building and maintaining Microsoft Access Databases • Multitask and working independently on time sensitive projects Special Qualifications: Contractor shall be responsible for insuring all personnel assigned to the Contract possess the following qualifications. a. Experience with military record keeping across services - important for identifying source documents and materials for the exhibit. b. Experience working with DoD and the Military Services history offices preferred, but not required. c. Expert knowledge of Microsoft Office Suite. d. Functional knowledge of Adobe Illustrator, Photoshop and InDesign graphics software. e. Functional knowledge of webpage editing and administration. f. Background in Vietnam War history (preferred) or Cold War history (desired). g. Proficiency in use of Microsoft Office 2010 products e.g., Word, PowerPoint, Excel. H. College degree, however this is a desired requirement.
