Job Description:  Records Manager (Level III)
Contract is pending award  
The Records Analyst (Level III) shall be a functional Subject matter expert and provide support on the contract to include the following:

2.2.3 Administrative Support Level III

• Identifying IT requirements to support efficient office functions

• Liaison with WHS/EM security manager to classified computer systems, classified storage, swipe access, training and similar functions.

• Inventorying/Controlling furnishings and equipment assigned to the Director, DoD Commemorations Office

• Ordering and maintain appropriate/applicable office supplies

• Photocopying and scanning documentation.

• Coordinating copier repair

• Updating calendars

• Reviewing all outgoing correspondence for content and quality control.

• Maintaining office-wide telephone communications system and information technology systems

• Providing a full spectrum of expert administrative logistical support.

• Coordinate with building property management (parking, heating / cooling).

• Facilitate distinguished visitor building access and parking.

• Assist in the set-up and tear-down of meetings and conferences.

• Disposition of Burn Bags.

• Managing, planning, developing, and executing all necessary logistics for commemorative events, communications, transportation, accommodations, etc.

• Coordinating with internal, external, and non-governmental agencies associated with the event

• Developing and maintaining a strategic long-range plan for events.

• Development, budgeting, execution and evaluation of all commemoration events.

• Establishing a Visitors Bureau for all major events.

• Supporting the activities of staff and event site personnel to make arrangements, prepare facilities and provide services for events, coordinate with security personnel as needed.

• Scheduling and conducting After Action Reviews with staff and production team; provide written notes from the meetings.

• Determining VIP list for specific named seats.

• Coordinating with protocol officials for presentations.

• Assisting with the coordination to understand all rules and regulations that might need to be incorporated for individual events.

• Reviewing all guest list compilation.

• Coordinating transportation for events.

• Scheduling, planning and directing the rehearsal before the event.

• Collecting materials from military archival repositories and websites. (e.g. Texas Tech Vietnam Center; US Marine Corps Archives Quantico,Virginia; National Archives and Records Administration; Naval History and Heritage Command; Air Force Historical Research Agency).

• Writing historical documents - must be able to write concise, age-appropriate narrative on a variety of topics relative to the Vietnam War to include U.S. Military Services' contributions and capabilities, U.S. policies and decision-making, technical advances, and biographies of significant personalities from the Vietnam War era. Materials will be historically accurate and properly cited.

• Experience with military record keeping across services - important for identifying source documents and materials for the exhibit.

• Experience working with DoD and the Military Services history offices preferred, but not required.

• Expert knowledge of Microsoft Office Suite.

• Functional knowledge of Adobe Illustrator, Photoshop and InDesign graphics software.

• Functional knowledge of webpage editing and administration.

 

Special Qualifications: Contractor shall be responsible for insuring all personnel assigned to the Contract possess the following qualifications.

a. Experience with military record keeping across services - important for identifying source documents and materials for the exhibit.

b. Experience working with DoD and the Military Services history offices preferred, but not required.

c. Expert knowledge of Microsoft Office Suite.

d. Functional knowledge of Adobe Illustrator, Photoshop and InDesign graphics software.

e. Functional knowledge of webpage editing and administration.

f. Background in Vietnam War history (preferred) or Cold War history (desired).

g. Proficiency in use of Microsoft Office 2010 products e.g., Word, PowerPoint, Excel.

H. College degree, however this is a desired requirement.
