AECOM is seeking an Executive Assistant to provide support for the North America P3 Director and the Director of AECOM's Global Transportation Alternative Delivery Group. We are seeking an experienced and professional individual for this high profile position. Responsibilities: Perform day-to-day tasks including, but not limited to, prepare pre-meeting materials including presentations for review; arrange, confirm, and manage detailed business and personal calendars; schedule senior-level meetings and related logistics, may have to travel, meeting planning and scheduling Determine importance of meeting requests in the context of chief executive's priorities and schedule accordingly Manage call lists based on emails and voice mails Help manage massive email inbox by identifying priority requests and responding to issues that are more administrative or require scheduling Perform research related to executive travel briefings, events planning and other matters at the direction of the Executives; manage special projects and special events Prioritize requests and ensure deadlines are met Respond to inquiries; oversee incoming communications, and when appropriate take action on the executive's behalf Arrange complex international and domestic travel agendas; prepare travel and expense reports on a timely basis Maintain accurate databases electronically to include address books, files and contacts Troubleshoot immediate IT concerns Perform other related projects and duties as requested Requirements: Minimum of 10+ years experience with a verifiably excellent performance track record Bachelor's degree preferred or commensurate training and experience Understanding of business concepts Skilled in upper-level administrative support functions including extensive minute taking experience Highly proficient technical skills (Microsoft Outlook, Excel, Word, Power Point) Experience working in a highly demanding and fast-paced environment Experience in working with highly confidential information Ability to think and act independently and strategically Highest degree of integrity, professionalism, diplomacy, and discretion required Ability to handle multiple tasks efficiently and effectively and meet tight deadlines Ability to anticipate and address issues and chief executive's needs Must demonstrate good judgment and decision making capabilities Must be a resourceful and independent thinker Must be a self starter with excellent prioritization skills Excellent and demonstrated verbal and written communication skills Experienced working with all levels in a corporate environment The position is based at the AECOM, Third Avenue location in New York City with occasional overnight travel on short notice What We Offer AECOM is a place where you can put your innovative thinking and business skills into high gear and work alongside other highly intelligent and motivated people.
