Job Description:  AECOM's Honolulu office has an opening for a Procurement Specialist who will be responsible for processing subcontractor invoices, following processes, tracking, and providing status of payment to vendors and project management upon request.
Responsibilities:


  • Managing copious amounts of e-mail, updating and maintaining correspondence logs and filing correspondence on a daily basis.
  • Uploading documentation to a central depository.
  • Soliciting and maintaining the necessary procurement documentation needed to issue a subcontract award.
  • Report Maintenance: Database input for Invoice Reports (Pending and Approved), Health and Safety certifications, Representations and Certifications, Insurance and Pre-Qualification package tracking, as well as database management for tracking of procurements requiring modifications to process invoices.
  • Prepare, track and maintain Period of Performance (POP) extensions.
  • Subcontract closeouts for Federal procurements.
  • Filing, including the creating of new contract/subcontract proposal files and checklists.
  • Preparing documents to be notarized, coordinating signatures, and returning signed documents to the client either through currier services or FedEx services.
Requirements:


  • Associates degree or equivalent experience providing administrative support preferably to a multi-faceted high volume department.
  • Ability to multi-task, working with minimal oversight and with problem solving skills, taking the initiative to bring about resolutions independently.
  • Comprehensive computer skills in MS Word, Excel, PowerPoint, Access Databases, and internet data/info research.
Relocation is not available for this position.
