Summary of Role: Summary based in Lyon , He/ She will coordinate various office support services, including purchasing and facilities management. The candidate will be in charge of administrative functions in order to increase efficiency and productivity of the group.
The office manager will also support as executive assitant our Sr
Director, Administration & Finance and our HR France /HSE /facilities Director
The role carries the responsibility for providing a full range of secretarial
and administrative services to these Directors in Lyon .

Essential Duties and Responsibilities for office management
include the following:


  • Perform General Front Office Duties

Answer multi-line phones. Direct calls as necessary. Greet and direct visitors. Organize flights and hotel bookings for visitors. Maintain staff and conference areas. Maintain corporate meetings and conference schedules. Order office supplies. Maintain supply cabinets. Run general corporate errands.

  • Manage Office Equipment

Order office and facilities supplies. Assist in office purchase order creation and follow-up
Maintain operational equipment including, but not limited to, postage meter, binding machine(s), etc...but excluding phone systems and copy machines.

  • Planning essential central services and Carry Out Maintenance of Lyon site buildings and production tools

Comply with company office operations policies and procedures; maintain filing systems. Central services such as maintenance, office supplies inventory, cleaning...

  • Carry Out compulsory facilities controls on buildings and production tools

  • Carry Out company cars contracts and daily needs

  • Prepare Facilities for New Arrivals

assemble furniture as required; requisitions and costs out modifications as required; facilitates the move of equipment and personnel into new space. Request form the IT department: :mail account, lap top and other IT equipment as per Pnew Form. Order: cell phone, business cards, etc.

  • Assist in Maintaining Records

Assist in maintaining office records relating to building and equipment leases, company cars, annual compulsory facilities and offices controls, etc.

  • Facilities BOQ Coordination

Provide amounts of facilities expenses

Track and file BOQ templates

  • Planning for future development and space management for lyon site, planning best allocation and utilization of space and resources for new building
Minimum Requirements: Education and Experience
  • Minimum 4 years experience in similar office management /administration /executive assistant responsibilities.
  • Bachelor's degree preferred but not required. Experience as stated in above Qualification section additionally desired.

Qualification • Fluent in spoken and written English and
French.

• High degree of flexibility and willingness to help where needed. Proactive
and can-do attitude.

• Ability to work independently.

• Highly detail-oriented and conscientious.

• Team oriented self-starter.

• Ability to interact well with multiple departments, and to communicate
clearly, in both oral and written form, across cultural boundaries
• Ability to maintain strict confidentiality on
generally sensitive matters.

• Self-motivated and reliable.

• Profound knowledge in MS Office (Word, Excel, PowerPoint, Outlook) and
Oracle

•Service orientation. Ability to multi-task and set priorities. Ability to work well with vendors.
