ESSENTIAL FUNCTIONS

The Administrative Assistant is responsible for the day-to-day administration of office activities for a major project of the Nature Conservancy. The Project will conduct a landscape-level analysis to help inform conservation, development, and mitigation strategies for the South Gobi, supporting a sustainable future for the region. The Administrative Assistant will coordinate facility management, telecommunications, general maintenance/repairs, central services, mail distribution, filing, telephone/public reception and printing.  The Administrative Assistant will maintain office supplies, and handle general purchasing requests and general office duties. S/he may also oversee some financial/accounting responsibilities as well as perform various HR related tasks.  S/he will provide a full range of high-level administrative support to senior management by preparing correspondence and materials, handling travel arrangements and scheduling. This position includes frequent interaction with all members within the organization as well as partners, vendors and business relations. S/he may prepare accounting forms and disbursement requests, monitor income and expense budgets and prepare/review internal and partner financial reports.
BASIC QUALIFICATIONS

• Bachelor’s degree and 1 year related experience, Associate’s degree and 3 years of related experience, or equivalent combination.
• Experience coordinating one or more central administrative processes, such as facility management, telecommunications, general maintenance/repairs, central services, mailroom operations, central filing, telephone/public reception, printing, maintaining office supplies, general purchasing requests, or equivalent.
• Experience organizing files, coordinating projects or meetings, or related. 
• Experience in customer service and/or written/verbal communication with staff, vendors, customers, the public, or others.
• Experience using MS office, Word and Excel, and navigating the Internet.
ADDITIONAL JOB INFORMATION

Office Management
 Performs a variety of administrative tasks including budget preparation, travel arrangements, meeting logistics, scheduling, reporting, and tracking information;
 Provide direct supports to the manager and the program lead on any logistics and interacts with all team members, customers, vendors, and business relations;
 Interpreting and translating from English to Mongolian and visa a versa;
 Provide supports to senior members of the team in implementing meetings and conferences;
 Responsible proper uses of equipment as well as other premises and keeps inventory of the project equipment;
 Order office supplies that are requested and for shared areas timely.  Order and replace toners when needed. 
 Serves as the receptionist.
 Performs system backup/maintains logs.

Finance
 Manages petty cash in accordance with TNC policies and procedures.
 Process check requisitions timely and accurately in accordance with TNC policies and procedures.
 Provide general clerical support to Project Manager to include printing monthly financial reports, expense reports, filing, copying.

Staff Support
 Coordinate staff meetings/conferencing.  Takes minutes.
 May assist with staff support transactions.
 Other duties as assigned by the Project Manager.
KNOWLEDGE/SKILLS:
• Bachelor’s degree and 1-2 years of related experience, Associate’s degree and 3-4 years of related experience, or equivalent combination.
• Experience in MS Office, Word and Excel. May require Power Point and Database Management skills.  Ability to use advanced computer functions including navigating the Internet. May require ability to manipulate, analyze and interpret data.
• Strong communication skills, organizational skills and attention to detail.
• Ability to organize time, manage diverse activities and meet deadlines.
• Service oriented.  Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
• Demonstrated flexibility to changing situations and priorities.
• May require fluency in foreign language(s) to support global operations. Specific language(s) may be preferred depending on operating unit.

COMPLEXITY/PROBLEM SOLVING:
• Ability to prioritize tasks in the absence of specific instructions. 
• Resolve day-to-day problems within specific guidelines and parameters of position.
• Complete multiple and varied assignments in a timely manner or under deadlines.
• Track progress on tasks and does follow-up as needed. 
• Identify routine problems and utilize existing resources for resolution.

DISCRETION/LATITUDE/DECISION-MAKING:
• Duties are performed under general supervision and established guidelines.
• Prioritize work independently, working with supervisor as needed.
• Make day-to-day decisions as delegated by supervisor. 

RESPONSIBILITY/OVERSIGHT – FINANCIAL AND SUPERVISORY:
• Supervises no staff, but may help plan and direct the work of volunteers or interns.
• Limited responsibilities, which may include processing check requests, travel expense reports and petty cash. 
• May purchase equipment and supplies as provided for in budget and in consultation with supervisor. 

COMMUNICATIONS/INTERPERSONAL CONTACTS:
• Work and communicate effectively with a wide range of people, including employees, the public, vendors and people with different cultural backgrounds.
• Communicate with internal and external contacts to seek or convey information and coordinate arrangements.
• Familiarity with standard business communications; ability to draft and edit correspondence and other written materials.
• Formulate and clearly communicate ideas to others.  

WORKING CONDITIONS/PHYSICAL EFFORT:
• Work performed in a general office setting.
• Ability to work in a fast-paced, stressful environment and manage deadlines. 
• Work requires only minor physical exertion and/or strain.  Work environment involves only infrequent exposure to disagreeable elements.
