ESSENTIAL FUNCTIONS

The Executive Coordinator/Board Liaison works closely with the State Director to provide strategic, operational and administrative support for the chapter. The candidate will be responsible for managing the Director’s administrative affairs and supporting communications, meetings and projects for the Director and the Board of Trustees. This position includes frequent interaction and administrative management of inter-relations between the Director and all members within the organization including senior managers, staff, trustees, donors, as well as leaders and partners in the business, policy, and conservation communities. Responsibilities will include writing and development of communications materials and reports, managing the Director’s travel arrangements and meeting logistics, scheduling and tracking information.  S/he may provide operational support to the Director, such as recruiting and other HR support, creating/submitting financial and technical reports and developing operational guidelines to ensure efficient management of the program and compliance with regulations. S/he makes interpretations and recommendations as appropriate.Duties are often confidential, require discretion, professional judgment, tact and poise. Incumbent has considerable latitude and flexibility in carrying out assigned tasks.

 

Must be computer proficient and technology savvy.  Experience with MS Office programs, primarily Word and Excel; experience with PowerPoint and Data Base Management skills.  Due to the confidentiality nature of work, experience in supporting and troubleshooting the State Director’s TIS needs. 
 

BASIC QUALIFICATIONS
  • Bachelor’s degree plus at least 5 years related work experience or equivalent combination.
  • Experience with MS Office, including use of the Internet.
  • Experience managing coordinating the schedule and contacts of a senior leader(s).
  • Experience coordinating multiple projects, setting realistic deadlines, and managing timelines.
  • Experience working with people in various roles, such as board members, donors, volunteers, the public and/or all levels of staff.  

Executive Director Support: (50%)
  • Serving as the point person to the Board of Trustees on behalf of the Director
  • Meticulously handle the Director’s calendar, including making travel arrangements.
  • Draft and editing internal and external communication on behalf of the director, including board reports, letters, and proposals.
  • Serve as the Regional Liaison between Eastern Division and the Director
  • Assuming all responsibilities for supporting and helping coordinate and implement the Director’s outreach, management, and project responsibilities related to the organization’s conservation goals.

Board Management: (50%)

Board Meetings:
  • Responsible for drafting agenda content, managing all meeting logistics and communications, creating board reports and keeping meeting minutes.
  • Responsible for keeping the Board of Trustees informed about the Chapter, as well as keeping it abreast about communication from World Office.

 

KNOWLEDGE/SKILLS:
  • Bachelor’s degree preferred, plus at least five years related work experience, or equivalent combination of education and experience.
  • Excellent written and oral communication skills.
  • Excellent project management and board management experience.
  • Ability to make good decisions based on analysis, wisdom, experience and judgment.
  • Ability to deal effectively, diplomatically, honestly and sensitively with all levels of management and staff.
  • Ability to consistently demonstrate professional, positive and approachable attitude/demeanor.  Discretion and sensitivity in handling confidential information.
  • Excellent organizational and proofreading skills.
  • Solid knowledge of MS Office. Ability to use advanced functions, including sophisticated knowledge of the Internet. Experience supporting and troubleshooting personal computers.
  • Ability to organize time, manage diverse activities and meet critical deadlines.
  • Ability to manipulate, analyze and interpret data.
  • Ability to take on additional tasks when required and to delegate as needed to others within the chapter.

  • Coordinates multiple diverse projects with several variables, sets realistic deadlines and manages timelines.
  • Adapts or modifies processes in response to changing circumstances.
  • Interprets guidelines and analyzes factual information.
  • Resolves routine and complex problems independently, with minimal consultation with supervisor.

 

DISCRETION/LATITUDE/DECISION-MAKING:
  • Demonstrates common sense, flexibility and teamwork with the strong ability to exercise independent judgment.

RESPONSIBILITY/OVERSIGHT –FINANCIAL & SUPERVISORY:
  • Exercises delegated financial authority in a variety of areas, such as arranging for large meetings and committing funds related to such meetings and approving expense reports. 

 

COMMUNICATIONS/INTERPERSONAL CONTACTS:
  • Formulates and clearly communicates ideas to others, providing a variety of information to staff and others to assist workflow throughout the organization.
  • Works and communicates with a diverse group of people, including board of directors, donors, volunteers, the public and other staff.
  • Consistently demonstrates professional, positive, and approachable attitude/demeanor and discretion.  Demonstrates sensitivity in handling confidential information.
  • Communicates through word and actions, solid knowledge, support and vision of the Conservancy’s mission and goals.
  • Ability to work with and communicate with a wide range of people – the public, chapter leadership, influential donors, prospects, and others.
  • Leverages constructive and effective relationships inside and outside the Conservancy.

 

WORKING CONDITIONS/PHYSICAL EFFORT:
  • Work requires only minor physical exertion and/or strain.  Work environment involves only infrequent exposure to disagreeable elements.
  • Ability to work under stress during peak workload periods.
  • Occasional travel, comprising of no more than 10% of work time.
